The Southern Arizona VA Health Care System is currently recruiting for one (1) Program Support Assistant (OA) to work in the Center for Development and Civic Engagement (CDCE) office. The incumbent is a front-line employee, providing customer service to a diverse population. The incumbent must maintain favorable relationships with employees, volunteers, veteran patients, members and officials of community organizations, and the public.
Duties
Duties include but are not limited to the following:
Assist in carrying out responsibilities for the planning and execution of the overall CDCE program which consists of regularly scheduled (RS) volunteers and occasional volunteers who contribute over 40,000 volunteer hours annually.
Participate jointly with CDCE staff in the planning, coordinating, operating and evaluation of the CDCE Program.
Provide customer oriented, reception to the Customer Service Program. Know the practice of the mission and goals of SAVAHCS.
Assist in clerical operations related to the recruitment, orientation, placement and evaluation of volunteers, coordination of special events and management of the facility donation program.
Perform day-to-day clerical administrative duties for the CDCE office and provides guidance and assists with monitoring workflow for volunteers in the CDCE office who assist in performing clerical functions.
Provide information to all donors and/or prospective donors regarding VACO/SAVAHCS policy on monetary and material donations.
Advise and/or provide donors with information on patient's needs, in accordance with established regulation, policies and procedures.
Assist with accepting donations from organizations, issuing receipts for funds and preparing information for acknowledgments.
Arrange deposit and distribution of donations, assuring the items are utilized within the expressed wishes of the donor.
Document all receipts and disbursements of donations.
Arrange special donation presentations as requested.
Assist in coordinating facility's volunteer activities and special events relating to CDCE or the facility, i.e., National Salute, Awards and Recognition Programs, Veterans Day Concert, Patient Carnival, etc. Incumbent works with CDCE staff in the planning, assembling, implementing and evaluation of the Annual Volunteer Recognition and Awards Program.
Work Schedule: Monday - Friday 8:00am - 4:30 pm

Qualifications

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing clerical, technical, or customer support; receiving and referring phone calls; communicating and treating customers in a courteous, tactful, and respectful manner while providing consistent information according to established policies and procedures; and using computer programs to prepare documents. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed four (4) years of education above the high school level in any field which high school graduation or the equivalent is the normal prerequisite. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have combination of specialized experience and education beyond the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience..

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is primarily sedentary. Typically, the employee sits comfortably to do the work. The work involves writing at a desk, working at a computer terminal, sitting in meetings, standing, walking, bending, pushing a small cart, carrying light items, and lifting bulky items. The work may involve traveling by and/or driving a vehicle outside the hospital during the day, as well as some evenings and weekends for the purpose of special programs or volunteer recruitment.
