The Administrative Support Assistant in support of the Administrative Officer (AO) and Program Specialist for the Mental Health Service (MHS). In assisting the AO and Program Specialist, you will assist in managing the MHS budget, contracting, and personnel service dollars while keeping the supervisors informed to maintain financial solvency. Serve as a back up to service line timekeepers, PIV managers/sponsors, and Program Application Specialists, and committee minutes recorder.
Duties
Major duties include, but are not limited to:
Assistant to the Administrative Officer of the MHS, the incumbent will develop the need for and maintains an awareness of available resources.
Assembles and compiles budget information.
Maintains a running account of funds allocated and expended in all sub accounts and propose interim adjustments where necessary by applying the basic knowledge and understanding of budgetary policies, procedures, and regulations.
Assist with staff resource requests by drafting and tracking the paperwork to disposition status,
In assistant to the AO, incumbent will investigate and analyzes adverse quality trends or conditions and initiates corrective action.
Obtain data require for credentialing and privileging of MHS providers to include completing the paperwork needed for initial IPPE, bi-annual OPPE reviews, and any identified FPPE reviews.
Extract data needed for quarterly clinical chart reviews and analyze the results.
Designs studies, training programs and organizational strategies for identifying opportunities to improve customer service and operational policies.
Prepares data analyses for presentation and review using written, verbal, and electronic media.
Assists with timekeeping entry and associated filing; sponsoring employees in the issuance or renewal of PIV cards; and provides ADP AC support with troubleshoot, submitting work orders, and move/transfer requests.
Preferred Experience:
At least (1) year of administrative experience, preferably with mental health administrative experience.
Work Schedule: Monday - Friday 7:30 a.m. to 4:00 p.m./8:00 a.m. to 4:30 p.m. work schedule, but work schedule may be adjusted to meet the needs of the service.
Telework: May be authorized 1-2 days/PP

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/27/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: gathering and analyzing budget needs; Monitor usage of fund control points and
formulates the annual budget including salaries, travel, supplies, equipment and all other general operating expenses; develop monthly and quarterly cost ceilings; Monitors qualitative and quantitative measurements for performance; Producing variety of recurring reports, charts, and statistical data relating to workload, timeliness, and quality control measurements. Physical Requirements:
