The Program Support Assistant provides technical support for academic education programs at the Southern Arizona VA Health Care System (SAVAHCS) managed by the Associate Chief of Staff for Education (ACOS/E) in the office of the Chief of Staff within the Health Professional Education Office (HPE). There are over 30 MD programs, 32 AHE programs (11 Stipend/21 non-Stipend) and medical student training programs at SAVAHCS. Approximately 1000 HPTs rotate at SAVAHCS per year.
Duties
The Program Support Assistant works in collaboration with the ACOS/E, and the HPE, Supervisory Program Specialist to provide administrative and program management support so that the office remains compliant with all ACGME, OAA and Compliance and Business Integrity requirements. The Program Assistant will be trained to resolve differences in the activity reporting reconciliation between VA programs and the sponsoring institution. The Program Support Assistant serves as a point of contact for internal and external relationships regarding academic education programs. The Program Support Assistant will also serve as the Learning and Domain Manager for the Health Professional Education Office (HPE) Service and Chief of Staff Office for the Talent Management System. The Program Support Assistant provides analysis to manage all HPE and AHE active affiliation agreements. This requires review of regulations and reporting requirements contained in specific handbooks and directives, so he/she can determine problem areas and make recommendations to correct errors and measure progress and effectiveness of program operations against goals and objectives. The Program Support Assistant will monitor clinical activity of trainees by performing spot checks of notes by trainees in each program in CPRS to make sure there are equivalent numbers of notes each quarter. Monitors TMS to determine training status of Mandatory Training for Trainees. Serves as the manager of the HPE SharePoint site. Duties included are to solicit, edit, and organize HPE related materials from all services that participate in orientation activities, and to develop specific materials for trainees, based on feedback from annual Trainee Satisfaction Survey (TSS). Serves as primary timekeeper for the HPE Service.
Work Schedule: Monday - Friday, 8:00 a.m. to 4:30 p.m.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/07/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: planning, coordinating and monitoring activities; gathering of information from a variety of sources, identifying issues, and developing recommendations to resolve problems within programs, experience utilizing office automation to maintain files, generate reports and create documents such as meeting minutes and memoranda; experience performing customer service duties such as assisting with personnel management and communicating with human resources to facilitate new hires; providing administrative support to medical staff and oversight of administrative processes; scheduling and arranging meetings or conferences.

Physical Requirements: The work is normally sedentary but requires flexibility.
