The Supervisory Medical Administrative Specialist is a secondary liaison between Medical Administration Service (MAS) and the clinical leaders for the health care lines and Community Based Outpatient Clinics (CBOCs); attend their meetings and work more directly with their leadership in assuring we meet the mission of the administrative and clinical aspects; provide direct supervision to the medical administration supervisors of Primary Care, Behavioral Health, Specialty Care, and all five CBOCs.

Duties

Duties include but not limited to: Responsible for producing executive reports and analyzing dashboards for effective service-wide improvements. Participate in an extremely complex blend of computing technology, medical information, communication skills and leadership qualities in a rapidly changing environment. Maintain contact with clinical personnel and other staff in various clinic settings to resolve delays and misunderstandings in the medical administrative aspects of providing medical care. Write and update facility-level policies that may be applicable to new VHA directives and works with other cross functional clinical areas and administrative service chiefs to complete medical center memorandums regarding the covered areas. Ensure staff update all demographic information on each patient that checks in for their appointment by utilizing the pre-registration menu, as well as gather insurance information either by using the insurance scanners or copying the insurance cards. Conduct special studies for identifying opportunities to improve customer service and process quality. Responsible for setting performance standards, evaluations, initiating action on disciplinary matters, awards, labor relations, approval of leave and work schedules. Responsible for leave administration, incentive awards programs, motivation and morale, administrative disciplinary actions, recruitment and placement, position management and classification, preparing position descriptions, overseeing semiannual and annual evaluations, counseling employees whose performance is marginal or unsatisfactory and implementing continuing education activities. Provides direct on-the-job training for employees, broaden employee training, and provide backup skills by cross training. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/13/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-12 position you must have served 52 weeks at the GS-11. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-11 in the normal line of progression for the occupation in the organization. Specialized experience would typically include, but are not limited to: overseeing administrative programs by gathering data to conduct detailed analyses concerning the relationships among administrative positions, workload, and productivity by interpreting administrative records and reports to develop manuals and directives. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: This is primarily a sedentary position, but the work requires some walking, bending, stooping, and carrying of light objects such as manuals, documents, etc. Concentration and sustained performance under prolonged stress is required because of the time factors involved incompletion of work assignments within deadlines.
