The Telehealth Program Support Assistant plays a critical role in supporting the implementation and coordination or Telehealth services within the organization. The Support Assistant will work closely with the Facility Telehealth Coordinator as well as other healthcare providers, staff, and patients to ensure the successful delivery of Telehealth Services.
Duties
Duties include:
Assists management and patient care teams with ensuring that medical records, Telehealth consults, and documentation are completed in a timely fashion.
Ensures that hospital staff education records are completed, filed, and maintained for compliance purposes.
Performs administrative support duties such as typing and filing and prepares various materials for hospital publication.
Researches and provides background on subject matter of meetings, maintains calendar of appointments, schedules Teams calls, coordinates meetings, and takes minutes of various meetings.
Serves as key contact for the Telehealth Program to answer basic program questions or relay messages for personnel.
Provides information and instruction to health care personnel with questions related to iPads, equipment procurement, training, clinic setup, service agreements, credentialing, and privileging.
Maintains consistent communication with clinicians to clear and complete visits, incomplete and no status encounters, and incorrect duplicate visits on a regular and ongoing basis.
Transcribes minutes in prescribed format for review and approval by the meeting facilitator and distributes to the appropriate staff.
Collects data that measures the effectiveness of administrative, programmatic, and technical aspects of the program and participates in process improvement.
Organizes, maintains, and revises relevant materials, documents, and PowerPoint presentations for meetings and surveys.
Conducts audits/inspections of all Telehealth programs to ensure proper clinic set up and coding.
Utilizes various databases to input required data pertaining to Telehealth programs.
Work Schedule: Monday through Friday; 7:30am-4:00pm; subject to change based on the needs of the facility.
Telework: Yes; Telework eligible 6 days per pay period. VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/31/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Perform tasks working in an administrative position where clerical, administrative, and various office skills require preparing correspondence, reports and graphs utilizing a variety of computer programs.
Utilize a variety of computer software such as Microsoft Word, Excel, Power Point, SharePoint, and other software applications.
Interact with executive leadership in the VA, staff members as well as Veterans, their family members and/or legal representatives.
Provide/submit requested information to ensure all due dates are met in a timely and satisfactory manner.
Manage a fast-paced office to include, establishing priorities, set up, reschedule appointments.
Create techniques and methods to initiate follow-up requests on action items and time-sensitive issues with appropriate staff members.

Physical Requirements: The work is generally sedentary in nature but may require occasional physical exertion such as prolonged periods of standing, bending, reaching, crouching, stooping, stretching, and lifting moderately heavy items such as manuals, record boxes, files, or equipment. The work may require occasional travel to other sites.
