The position is the Program Support Assistant (OA) to the Chief/Assistant Chief, Sterilization Processing Department, a Service Level Department in the department of Nursing. The position performs specialized duties supporting the Reusable Medical Device (RMD) program. The position develops information, identifies interrelationships, and takes actions consistent with objectives of the function or program served.

Duties

This position is covered by AFGE bargaining unit. Per the Master Agreement, the Area of Consideration will be: 1st Area of Consideration - Current Facility and CBOC employees; 2nd Area of Consideration - VA Nationwide applicants. Duties include: Create, revise, and maintain documents that pertain the overall function of the program. Knowledge of correspondence requirements to check for proper grammar, spelling, and punctuation and to review documents for conformance with formats and procedural requirements by electronic or paper format. Compose and reviews correspondence composed by others on a wide range of complex technical and non-technical subjects related to Sterile Processing, locates and assembles information for various reports, briefings, conferences, etc. follows up with Chief/Asst. Chief to ensure that commitments made at conferences and meetings are met. Procurement and acquisitions of equipment and supplies, and office supplies needed for the department to provide its mission. Tracks personnel and other administrative transaction such as Action Items as the documentation flows through the office and throughout the hospital in both electronic form paper format. Knowledge to generate, store, retrieve and modify electronic project files using automated filing system such as the MS Sharepoint portal Vista, Microsoft Word, Excel, Outlook and Powerpoint as needed by the Chief/Asst. Chief of Sterile Processing. A qualified typist is required. Reviews submissions for accuracy and proper format and consolidates material into annual office budget; sets up controls to monitor expenses during the year; and recommends budget adjustments including restructuring budget allocations or work plans to deal with changing situations such as varying costs for equipment parts, or services, and changes in the availability funds. Schedules appointments and makes arrangements for time, participants, and location of meetings or educational activities of the department in accordance with instruction from Chief/Asst. Chief Sterile Processing. Assist with employee timekeeping requirements using automated timekeeping functions in the VATAS package; knowledge of union agreement to ensure that workers' time is scheduled and posted in accordance to the current agreement. Provide on the job training to new employees of SPS on facility timekeeping/leave system, TMS learning system. Provide travel arrangements for administrative and staff of SPS. Makes necessary arrangements for travel, arranging schedules of visits, making reservations, notifying organizations and officials to be visited, and submitting travel vouchers and reports for Administrative and staff members of Sterile Processing. Assist in gathering information and in planning for reports and projects. Work Schedule: 7:30am - 4:00pm, Determined by supervisor; subject to change based on the needs of the facility. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/31/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a FS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Generate, store, retrieve and modify electronic project files using automated filing systems such as MS SharePoint portal, Vista, Microsoft Word, Excel, Outlook and PowerPoint as needed. Maintain office procedures, filing system and various references and departmental directives. Administer general calendar maintenance clerical services such as maintaining calendars and recording appointments, arranging for meeting and small conference administrative details, or following up on actions items with appropriate staff member independently. Transcribes correspondence requirements to check for proper grammar, spelling and punctuation and to review documents for conformance with formats and procedural requirement by electronic or paper formats. Uses PowerPoint or other comparable graphics software to develop presentation materials. AND Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. You will be rated on the following Competencies for this position: Analysis and Problem SolvingCommunicationComputer SkillsTechnical Documentation Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The position will require sitting long periods of visualizing computer screens, typing, walking, standing, bending, carrying of items that can weigh up to 25 pounds.
