The Southern Arizona Health Care System is currently recruiting one Program Support Assistant (Office Automation) to work in the Nutrition and Food Service in Tucson Arizona. The incumbent provides a wide variety of administrative, clerical, and technical support. The incumbent supports budget analysis and administration by using office automation programs and software e.g. word processing, spreadsheet/database management as well as copy machine, fax machine, scanner and email.
Duties
Duties include but are not limited to the following:
Perform work involving the collection, compilation, and/or tracking of data and statistical information in support of the program operation.
Provide clerical contact support e.g. answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures, and/or similar information.
Research files and assemble background information on the subject of incoming material prior to referral.
Utilize office automation programs and software e.g. word processing, spreadsheet/database management in support of the clerical/administrative work, copy machine, fax machine, scanner and/or email.
Utilize spreadsheet software to develop and change spreadsheets in order to graphically display data as required.
Track, order, deliver and maintain office supplies.
Schedule clinic appointments, prepare appointment confirmation letters, and enter appointment data as required.
Maintain the appointment calendar, schedule appointments, remind supervisor/staff members of the subject matter prior to meetings, and make administrative arrangements as required.
Perform the following types of duties: edit letters, compose letters/reports, review correspondence for accuracy and completeness, prepare public presentation outlines/meeting minutes, develop standard or form letters and/or reply to inquiries.
Organize data into Access databases or spreadsheet formats as required.
Review documents and reports for completeness and/or enter pertinent information into an automated tracking system or create spreadsheets/databases to track them.
Post employee/contracted personnel time and attendance on a daily basis utilizing VA computerized timekeeping software as required.
Work Schedule: Monday through Friday 8:00am-4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/12/2023.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: performing office automation duties using software applications, track/organize/review data, schedule appointments and/or time keeping. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years of education above the high school level (Transcripts Required). OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond 4 years of education above the high school level. (Transcripts Required).
Preferred Experience: Experience with VATAS Timekeeping software

Physical Requirements: The work area is usually an adequately lighted, heated and ventilated office of medical facility setting. The work environment involves everyday risks or discomforts that require normal safety precautions. The sedentary and may require some walking, standing, bending, carrying and/or lifting of light items like papers or books. The work requires light to moderate levels/times performing keyboarding to prepare correspondence. The work is performed in a typical office setting, requiring the use of normal safety precautions necessary for an office environment. The work area is adequately lighted, heated, and ventilated.
