This position is assigned to the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), at the Southern Arizona Health Care System (SAVAHCS) in the Engineering Service's Maintenance and Operations (M&O) Section. The primary purpose of the position is to provide day-to-day administrative assistance and support to the M&O Supervisors and Engineers.

Duties

Duties include but not limited to: Serves as primary Automated Data Processing Applications Coordinator (ADPAC). Coordinates and manages all telephone and computer moves. Screening telephone calls from other departments, vendors, and visitors to include check-in and badging as well as ensuring to follow-up with inquiries to refer to appropriate personnel or departments based on knowledge of engineering programs and/or VA operations. Receiving and reviewing all incoming correspondence, publications, regulations, and directives to ensure tasks, reports, and other action items are completed within the given timelines by independently distributing work to appropriate staff members and departments. Managing office supplies for Maintenance and Operations Section by developing and monitoring the inventory and adjusting supply volumes based upon the usage rates and customer needs. Entering employee's attendance and leave information daily. Posting includes regular hours, days worked, overtime, holiday pay, differential, compensatory time earned or taken, any applicable premium pay, absence for Leave Without Pay (LWOP), Absence without Leave (AWOL), military leave, annual and sick leave, Authorized Absence (AA) and changes in Time &Leave (T&L) units. Preparing corrected timecards as needed. Assisting and giving guidance to employees and supervisors regarding policies and regulations governing the time and leave system. Responsible for managing work orders submitted through the electronic work order system (VISTA), checks for completeness, assigns priorities, and directs work to the appropriate shops for completion. Maintains the necessary records for the accomplishment of the preventive maintenance inspection program, which include updating the database through VISTA. Work Schedule: Monday to Friday, 7:30 a.m. - 4:00 p.m. Virtual: This is not a virtual position. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/05/2023. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing clerical support, customer service, technical assistance with automation programs and time keeping experience. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years of education above the high school level. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond . You will be rated on the following Competencies for this position: Administration and ManagementCustomer Service (Clerical/Technical)Problem SolvingTechnical Competence Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is predominantly sedentary in nature with some occasional walking, bending, stooping, and moderate lifting and carrying of light items like paper, files, or books. Concentration and sustained performance under prolonged stress is required because of time factors involved with completion of work.
