The Program Support Assistant (PSA) is located in the Social Work Service. The program provides administrative and technical support to the sections/committees which may involve two or more of the following sections: AGAVE, Mental Health, Homeless, PRRC, MHICM, SUDTP & MHRRTP clinics/programs.
Duties
Duties include, but are not limited to the following:
Maintain supervision of several accounts as the purchase card holder following all purchase card guidelines and regulations in a timely manner i.e. reconciling as credit card orders.
Perform searches, gathers, collects, retrieves, extracts, compiles and/or displays reporting statistical data as required.
Monitor i.e. clinical coverage for leave and absences of providers, canceling clinics, and inputs electronic work orders for Facility Management Service.
Plan, develop, maintain and review service data collection methodologies, records and techniques to prepare corrective action plans and/or appropriate recommendations for improvements in data collection/maintenance and work flow processes.
Schedule space, participants, time, etc. for conferences and meetings i.e. assists in preparation of agenda, any handout material required, records, transcribe minutes and maintains files for future references.
Serve as initial contact point for reviewing and/or screening i.e. incoming correspondence, reports, instructions, etc., to determine the appropriate distribution of the information to the programs.
Monitor budgetary requirements for HUDVASH and Homeless programs i.e. request of purchase orders, reconciling fund control points and cost distribution report.
Serve as a point of contact for questions regarding the Homeless Programs e.g. veteran eligibility, enrollment, vesting, catchment area and reporting procedures.
Collaborate with the Homeless program coordinator(s), providing administrative Support to track veterans, coordinate appointments, coordinate security clearance requests, and provides information to veterans and families about the Homeless programs.
Receive incoming telephone calls i.e. determine identity of caller, nature of call and appropriate distribution of the call as needed.
Respond to inquiries from other employees and/or the general public seeking information i.e. relative to medical, administrative matters and/or screens representatives from various companies as needed.
Communicate verbally or in writing to patient/caregivers ' grievances and assist patients with problems or misunderstandings when required and will advise the patient on VA regulations and policies when required.
Work Schedule: Monday - Friday 7:30 a.m. to 4:00 p.m. work schedule, but work schedule may be adjusted to meet the needs of the service.

Physical Requirements: The work is primarily sedentary; some slight physical effort may be required. Occasional walking between departments to attend meetings and to retrieve information and documents are required.
Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/16/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience utilizing office automation to maintain files, generate reports and create documents; experience performing customer service duties such as providing administrative support to staff in clinic management processes; reviewing and processing official documents and forms to ensure compliance with an organization's policies, directives, and guidelines.
