The Program Support Assistant is under the direct supervision of the Chief of Spinal Cord and serves as the Spinal Cord Registry Coordinator in the Spinal Cord Injury (SCI) Service, performing a variety of clerical and administrative duties in support of the mission of the Spinal Cord Injury Service line.
Duties
Duties may include but are not limited to:
Monitors the registry on a daily basis to ensure registry is up to date and is populated with the currently served patients seen both at the Hub and Spokes facilities.
Assists with transfers with spoke sites and private sector facilities, and other VAHCS.
Assists Veterans in completing requests for records and routing documents to appropriate department.
Reviews records and reports to determine if Veterans are in their correct Priority Category and submit "Catastrophic Disability" documentation if necessary.
Processes SCI admissions, transfers, and discharges in VISTA timely and in accordance with Charlie Norwood VA Health Care System Admission Policy.
Maintains and updates STAT changes to electronic Bed Management System (BMS) ensuring optimal patient flow and use of beds are accomplished.
Maintains inpatient roster for Chief of SCI, Physicians, PAs, NP, and Hospitalists.
Provides customer service throughout the medical center regarding patient inquiries and applies knowledge of the facility and services to assist with sensitive issues or tactfully refer calls for specific clinical needs.
Maintains a master list of the SCI/D Registry.
Monitors the list monthly to ensure all inpatients and outpatients are scheduled timely for their annual rehabilitation examinations.
Contacts are made to all currently served patients that have their annual rehab exams completed on an Inpatient and Outpatient bases to assure evaluations are completed each year.
Provides clerical support to the Chief of SCI, Business Manager, Admission Coordinator and Nurse Managers.
Assists the Chief of SCI, Business Manager, Admission Coordinator, and Nurse Manager or other staff within the service by participating in planning, assessing, and evaluating programs.
Serves as the clerical back-up for other clerical staff in the service line, performing essential office support functions in the absence of other clerical staff.
Work Schedule: Monday through Friday, 8:00am to 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/01/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Researching patient medical records and extracting relevant data for planning patient treatment; Scheduling Appointments; Producing letters, memoranda, and transmitting and receiving electronic mail; Communicating both written and orally on patient related issues; and Using software applications such as word processing and databases for data entry, file maintenance and data retrieval. (This experience must be supported by your resume to be creditable).
Preferred Experience: Experience with Spinal Cord Injury Admissions.
