The Program Support Assistant (PSA) works under the supervision of the Mental Health Administrative Officer, performing a wide variety of administrative management duties. Incumbent must independently plan and carry out assignments vital to Mental Health Service operations and management of personnel.

Duties

Performs work related to the practical and technical aspects of office administration, including issues related to personnel administration, student and residency program administration and support, primary timekeeping for the service line, data processing, project tracking and file management. Must be a fluent typist in preparation of correspondence and daily work activities. Work requires an in-depth understanding of the mission and how the functional areas interrelate along with a broad understanding and procedural knowledge of personnel and information processing so that the employee can perform duties and advise on how to apply processing procedures. Incumbent performs support work such as the following: Establishes and maintains technical and administrative files in accordance with applicable regulations; responsible for maintaining the Mental Health Service administrative share drive and all electronic files, including sensitive documents and personnel files. Independently prepares correspondence, memoranda, station memoranda, internal policies, protocols, and standard operating policies in a final format in accordance with applicable regulations and guidance. Maintains the Master Calendar for all conference and group room activities. Supports the service as the designated records management liaison. Implements and maintains proper record storage and disposal practices. Should keep staff aware of records management requirements. Assists Mental Health leadership with quality management and quality improvement initiatives, as well as OPPE/FPPE data collection for the clinical programs. Reviews medical records and runs reports from Mental Health Suite and other data sources to track service performance measures and QM indicators as directed. Manages provider panel assignments in PCMM and runs reports from PCMM regarding panel assignments and Mental Health Treatment Coordinator Assignments Works directly with section chiefs and support staff to assure ongoing progress with performance improvement efforts and documentation of efforts including monitoring reporting as well as maintenance of comparable levels of care throughout the facility. Work Schedule: Monday-Friday 8:00am to 4:30pm Telework: Available VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/04/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of use in providing technical training on (monitors, laptops, docking stations, telephones, fax machines, etc.) and software (word-processing packages, Microsoft Office programs, etc.), in providing employee developmental training, briefings, onboardings, records maintaining. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary in nature and involves physical activity typical of an office setting. Bending, and lifting educational materials and equipment may be required. The work is in a well-lit and air-conditioned office space.
