Duties

The ability to assist in the coordination of all facets of administrative support, maintaining professionalism internally and externally. Knowledge of executive level protocol and policy in planning for the Director's involvement in all engagements. Proficiency in tools such as MS tools, MS Teams, MS Off ice, DTS, and ATAAPS. Assist, counsel and guide administrative staff members on a wide variety of sensitive, critical, high profile, and often controversial issues. Maintain absolute confidentiality in completing sensitive tasks. Apply an extensive knowledge of internal and external organizational relationships to maintain effective engagement. Requires highly effective organizational, interpersonal, and written and oral communication skills. Plan, organize and control critical actions ensuring appropriate priority, staffing, timeliness, coordination, accuracy, and approval. Assure that all plans and guidance developed is responsive and adequate to the needs of the Director and organization, and follow all applicable laws, policies, and regulations. Ability to positively communicate across administrative staff to ensure attention to detail is maintained, consistency in work, and compliance to policies/guidance. Demonstrates emotional intelligence, exercises conflict management skills to facilitate, identify, analyze, and recommend solutions to administrative problems, as well as improve organizational efficiency and productivity of the office. Maintains Director's schedule and appointments, adjudicating conflicts. Work ranges from specific tasks designed to provide orientation, familiarization, and training in the specialty area to moderately complex work for which guidelines and precedents are applicable but may require some interpretation. Reviews a variety of correspondence from all sources for the Director's signature. Ensures accuracy regarding format, content, typographic, and grammatical accuracy by thoroughly reviewing. Prepares travel arrangements and maintains travel records for the Director.

Requirements

  • Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
  • This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Secret security clearance or access for the duration of employment.
  • TDY - 10%
  • This is a 6-year Renewable Term position scheduled to last 6 years IAW Federal Register Vol. 82, No. 178. This position may be extended, without limit, in up to six-year increments.
  • Three-year probationary period maybe required.
  • Persons assigned male at birth born after December 31, 1959, must complete a Pre-Employment Certification Statement for Selective Service Registration.

Qualifications

This position is a Term Appointment Not to Exceed 6 years - Renewable Term Appointment. The position may be extended, without limit, in up to 6-year increments. Incumbents may compete as "status" candidates in the federal service in accordance with Section1109(b)(1)(B) of NDAA for FY 2016. Who May Apply: US Citizens In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application. Additional information about transcripts is in this document. Specialized Experience: One year of specialized experience which includes 1) independently preparing/editing correspondence, technical papers, spreadsheets, and briefing charts; 2) Producing and maintaining activity information and events including but not limited to rosters, calendars, directories, organizational charts, and administrative records; and 3) Providing executive-level support to the most senior levels of an organization. This definition of specialized experience is typical of work performed at the second lower grade/level position in the federal service (GS-04). OR Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages.
