Duties

Involved in a wide range of administrative and secretarial duties for a major division and serves as the Executive Secretary to the Assistant Director (AD), Senior Deputy AD and the Executive Assistant. Responsible for the set-up, organization and implementation of procedures required for operating the AD’s office on a regular and continuing basis. Receives controlled congressional correspondence from the Executive Secretariat, assigns a due date and assigns to the appropriate branch for response. Reviews correspondence and documents prepared for the signature of/or requiring editing or coordination of the AD or Senior Deputy AD for conformance with regulations, grammar, format, typographical accuracy, necessary attachments and special policies of the Division or BOP. Maintains the calendars of the AD and Senior Deputy AD and schedules appointments and meetings based on priorities involved, prior commitments and other time demands. Plans and coordinates all travel arrangements, both foreign and domestic, for the AD, Senior Deputy AD and Executive Assistant. Continually reviews and monitors office procedures and recommends and initiates changes to improve the operation. Receives and reviews all incoming mail, serves as the credit card holder and purchases all equipment and supplies for the AD’s office. Develops and maintains tracking systems to ensure correspondence, projects and special projects are responded to in a timely manner. Provides necessary training, supervision and monitoring to Reentry Services Division (RSD) secretaries to ensure potential problems are resolved and exerts sufficient controls to ensure priorities are properly established and met.

Qualifications

To be considered for the position, you must meet the following qualification requirements: Education:Ph.D. or equivalent doctoral degree; OR 3 full years of progressively higher-level graduate education leading to such a degree OR LL.M., if related. Graduate education must demonstrate the knowledge, skills, and abilities necessary to do the work. OR Experience:You must have at least one year of specialized experience equivalent in difficulty and complexity to the next lower grade level in the normal line of progression for the occupation in the organization. To be creditable, this experience must have equipped the applicant with the particular qualifications to perform successfully the duties of the position, and must typically be in or related to the position to be filled. Some examples of qualifying experience are: Experience ensuring all support activities related to timekeeping, preparation and processing of travel documents, conference planning, arranging teleconferences, solicitation of hotel and meeting space, equipment maintenance, mail processing, correspondence, responses to telephone requests for information, and other administrative tasks are completed correctly and in compliance with federal regulations. Experience providing direction and guidance to others and organizing their work to ensure the most effective use of their time and resources. Experience maintaining the calendars of agency management and scheduling appointments and meetings based on priorities involved, prior commitments and other time demands. Experience reviewing and revising reports and operations manuals, forms, and correspondence for grammar, spelling, punctuation, sentence structure, clarity, and content accuracy and consistency. Experience with the budgetary process, consolidating budget requirements within the office, preparing analyses, comparing requests with amounts available, logging and maintaining files of requests, monitoring the budget and recommending actions to avoid funding deficiencies. ORCombination of Education and Experience:Have a combination of education and experience. This experience must have equipped you with the qualifications to perform the major duties of this position as described above. If applicable, credit will be given for paid and unpaid experience.
