Primary purpose of this position is to provide a range of complex administrative management services, ensuring clerical and administrative support are accomplished with accuracy and reliability. Position provides professional and administrative guidance to all the various subordinate service sections. This position requires the ability to work independently in completing most assignments with little direction.
Duties
Performs administrative support work which requires extensive searches of records, references and other materials.
Prepares, prints and disseminates a wide variety of recurring and nonrecurring reports and other documents.
Compiles data and prepares monthly, quarterly and yearly reports.
Serves as the primary timekeeper for Pharmacy Service.
Posts time cards on a daily basis and checks leave balances to ensure proper usage.
Ensures time cards are accurate with no exceptions showing prior to certification.
Monitors, processes increases and decreases as directed by leadership to ensure adequate funding levels.
Helps maintain logs of all purchases utilizing excel and/or provided budgeting program; log provides type of purchase, cost, purchase order number and remaining control point balance.
Assists in researching files for purchases, costs, quantities, vendors, etc.
Sets up and schedules classes, enrolls employees in classes, records training results, maintains records and files.
Researches and collects data for special pharmaceutical reports and other reports as needed.
Coordinates travel, which may include making hotel reservations, seminar/workshop reservations, completing the necessary travel forms, coordinating information with the Travel Clerk for preparing necessary travel authority and vouchers.
Work Schedule: Monday through Friday, Full-Time, 8:00AM - 4:30PM - tour of duty to be determined by supervisor based upon facility needs. Subject to change based upon facility needs.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/26/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Serving as a primary point of contact for information concerning personnel and administrative actions and procedures.
Reviewing all correspondence to ensure compliance with format, requirements, accuracy, grammar, and factual correctness.
Performing time keeping duties using an automated reporting system;
Processing training requests.
Purchasing equipment, supplies, and services.
Reviewing travel authorizations and vouchers
Viewing source documents verifying that all required budgetary and accounting information is correct and complies with existing budgetary policies and procedures, analyze spending trends, and recommend redistribution of funds if need.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
