About the Position: The incumbent will assists the Chiefs and/or Teams in the management of administrative functions. The Branch consists of teams totaling between 20 - 35 personnel. Incumbent has technical responsibility for alladministrative and clerical work of both Branches.
Duties
Represents the Planning Branches/Teams when dealing with other senior administrative personnel throughout the Mobile District.
Serves as back-up to the primary point-of-contact with CPAC regarding all personnel actions and other issues affecting the Division.
Reviews all correspondence prepared for Branch chief or those at a higher-level signature for style, tone, grammar, spelling, enclosures, etc.
Serves as back up to the primary point of contact with the logistics management; safety and occupational health; information management; security and law enforcement and public affairs.
Develops/establishes/follows Standard Operating Procedures for administrative functions within the Branches.
Directs phone calls, emails and faxes to the appropriate employee in a timely manner.
Greets guests visiting the Division and directing them to the correct office, manager or employee in a timely manner.
Being polite and maintain professionalism when dealing with sponsors, stakeholders and visitors whether by phone or in person.
Assures all administrative and technical briefing material is discussed with the Chief(s) prior to the meeting, conference, workshop or briefing for which they will be used.
Serves as timekeeper, maintains Branches/Teams general correspondence files, and assists in maintaining an up-to-date Planning and Environmental Division website.
Utilizes Excel, Word, PowerPoint and Adobe PDF software to prepare clerical information of management.
Assists Budget Analysts in preparing information for manpower reports, workload analysis, and resolving labor charge issues.

Specialized Experience: One year of specialized experience which includes possessing 3 of the 5 criteria: 1) Preparing and reviewing correspondence for accuracy and final signatures; 2) Maintaining office files in accordance with established policies; 3) Providing administrative support to staff regarding official travel and travel vouchers; and 4) Compiling reports, charts, and statistical data for organizational use 5) Serving as a backup and providing support to other admins within an organization. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06).
Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.
Proficiency Required: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5-minute sample with three or fewer errors.
Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-06).
