The Administrative Support Assistant (ASA) for Behavioral Health Service (BHS) ,the Associate Chief of Staff(ACOS),Deputy Assistant Chief of Staff (DACOS), and the staff of 400+ personnel across multiple clinics located in Biloxi, MS; Mobile, AL; Pensacola, EGLIN and Panama City Beach, FL and reports directly to the Behavioral Health (ACOS). The Administrative Support Assistant performs a variety of management services and administrative support, budgetary analysis, and clerical support.
Duties
Maintains extensive knowledge of pertinent rules, procedures, operations, policies, and business practices and have maintain an acute attention to detail to respond to numerous requests for information concerning the medical center.
Develops a management workflow system to keep track of tasks, deadlines, products, etc., to ensure the service runs smoothly and is able to support the multiple, varying requests, events, products and needs.
Reviews medical center policies and routes through approval channels.
Coordinates administrative and budget affairs with Supervisor and designated management in the behavioral health service.
Compiles complex and varied statistical and general information from automated, printed, and verbal information to prepare reports and budget submissions.
Completes monthly, quarterly, and annual reports as assigned.
Assists leadership to prepare correspondence in connection with administrative and some behavioral health service phases of the work.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
Composes and edits letters, and reports; reviews correspondence for accuracy and completeness, and develops standard or form letters and replies to inquiries.
Assists the chief in organizing the administrative details involved in the operation of the service.
Assists with travel and training logistics for staff employees.
Provides public contact support services such as answering the telephone, referring visitors, or providing information about the office, the healthcare system, its functions, and standard operating procedures.
Work Schedule: Monday-Friday 8:00am-4:30pm (Subject to changed based on the needs of the Agency)
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/17/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS7 position you must have served 52 weeks at the GS6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Experience with Excel, Word, PowerPoint, Adobe Acrobat, and other software systems to generate reports/presentations etc. to leadership.
Experience with supply purchasing. Coordinating organization/service funds to efficiently purchase/track/maintain supplies for accurate fiscal records.
Experience with diverse workflow management - ability to produce/track/maintain multiple tasks, deadlines, products etc. to completion for the organization/service.

Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Work is generally performed at a desk or in meetings, though employee will be required to periodically carrying approximately 15-20 pounds of equipment/supplies to other sections within the service or for storage.
