Northern Arizona VA Healthcare System is currently recruiting for one Program Support Assistant to work in the Acute Care Service, Prescott, Arizona. The position provides assistance to 6 departments consisting of an Inpatient Medical Ward, an Emergency Department, a Respiratory Therapy Department, a Float Pool, a Provider and Hospitalist pool and a core Administration Department of the Service Line Manager, Nurse Officers, Safe Patient Coordinator, Transfer Coordinator and Administrative staff.
Duties
The primary purpose of the position is to provide administrative information and assistance in Acute Care, encompassing over 120 employees and multiple department program areas and is the principal clerk operating to aid such areas and programs.
Provide accurate and reliable information on the administrative functions of the service.
Interact with managers, supervisors, and staff members on matters related to administrative services by attending meetings and serving on appropriate work teams/groups.
Provide briefings on administrative topics; schedules events/meetings as necessary.
Collect data for the unit's operating budget, consolidates material into an annual budget.
Set up controls to monitor expenses during the year, recommends budget adjustments including restructuring budget allocations or work plans to deal with changing situations such as varying costs for parts, or services, and changes in the availability of funds.
Alert the Administrative Officer or other authority of significant issues/problems, such as overspending in assigned accounts.
Provide specialized support to several assigned program areas by independently addressing a wide variety of issues or situations common to the programs or functions supported.
Implement and train personnel on Administrative Services computer software.
Assure all Acute Care employees have appropriate training with clinical software packages (non-office automation).
Authorize and provide system access, menus, etc. for all authorized employees within the incumbent area of responsibility.
Provide expert technical advice and guidance daily to employees at all levels of responsibility, resolving complex issues relating to data processing programs and systems without higher level assistance in all but the most complicated cases.
Utilize complex medical terminology is essential to understand and respond to information requests, conduct data collection, and analyze data for appropriateness.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/19/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS -07 position you must have served 52 weeks at the GS -06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Specialized Experience: In Addition to meeting Time-in-Grade requirement: You must have one year of specialized experience equivalent to at least the next lower grade GS -06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: performing advisory service to management, managing budget/funding levels, develop reports from data collection, and Automated Data Processing Application Coordinator (ADPAC) functions..

Physical Requirements: The work requires extensive computer usage with many hours in each workday using a computer and other automated equipment. The work is performed in an office setting.
