The Administrative Support Assistant functions as an Administrative Assistant to the GEC Service Line Manager (SLM) and is responsible for providing administrative/clerical support to a wide variety of complex, administrative and technical functions relating to the GEC SL. Incumbent works closely with the GEC SLM to provide programmatic and administrative support to the Service Line. Incumbent performs administrative work, which includes management of an office's schedule or day-to-day plans.
Duties
Major duties include but are not limited to the following:
Providing administrative/clerical support to a wide variety of complex, administrative and technical functions relating to the GEC Service Line.
Responsible for the clinical and administrative functioning of the Service Line and maintains a clinical workload that includes the responsibility of providing supervision of physicians, nurse practitioners, nursing and clerical staff.
Advises management and staff in the interpretation of application of administrative procedures.
Responsible for the completion of the annual equipment inventory. Incumbent ensures that all equipment requests are adequate, appropriate, and required for program operation.
Tracking furniture, ADP, equipment, and project needs for each fiscal year for the service line.
Prepares paperwork, meets with managers, participates in meetings to prioritize needs with the service line, and may attend stations meetings on behalf of the GEC Service Line Manager.
Identifies and recommends ways of eliminating, combining, simplifying, or improving procedures and processes.
Monitors budget for fund control points and provides budget and financial information to the GEC SLM and/or Program Analyst.
Scheduling applicants for interviews for various positions; providing various types of training; and collecting 'data for employee awards, as well as tracking the award dollars.
Consistently communicates and treats customers in a courteous, tactful and respectful manner.
Provides consultation and training, as needed, to all clerical staff in the service line, advising and coordinating work as necessary.
Serves as timekeeper for three T&Ls, and is an alternate timekeeper for all other service line T&Ls.
Develops and maintains brochures on programs within the Service Line, and prepares newsletters for distribution, as requested.
Performs other related duties as assigned.
Work Schedule: Monday through Friday:7:00am to 3:30pm

Qualifications

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative and technical support for the management of various programs; maintaining databases and utilizing various software programs; managing administrative activities; maintaining files of administration records, supplies, and equipment; managing computerized databases related to budget and financial information; analyze and measure the effectiveness, efficiency, and productivity of administrative programs; develops written and oral correspondence.
