The Albuquerque New Mexico VA Health Care facility is recruiting for a Program Support Assistant. The incumbent will serve as the Administrative Assistant for Anesthesiology Service, representing the Chief, Anesthesiology Service in selected administrative matters, and will work under the direct supervision of the Administrative Officer AO, Anesthesiology Service.
Duties
Assist the Chief, Anesthesiology Service, in planning, developing, directing, and managing all administrative functions of the service.
Analyze existing administrative polices, gather information through surveys, investigations, or data banks for the purpose of evaluating administrative methods, procedures, workflow, work-loads, personnel utilization structure, communication, planning, training, arrangements for space, equipment utilization, and resource allocation.
Assist the Chief, Anesthesiology Service in developing and implementing policies and procedures to optimize efficiency and utilization.
Develop, implement, and analyze patient care monitors to assure compliance with Joint Commission on Accreditation of Healthcare Organizations (JCAHO) guidelines and Safety, Effectiveness, Reliability, and Patient-centeredness SERP criteria.
monitor clinical staff manpower and resource utilization, cost of medical supplies and equipment, and use the information obtained to identify the need for change.
Serve as the timekeeper for all employees of the Service.
Serve as the Automated Data Processing Application Coordinator (ADPAC), and the TMS coordinator for the Service.
Records minutes of meetings.
Monitor the maintenance and upkeep of Pl folders on all Anesthesiology Service Medical staff.
Prepare and consolidate all correspondence in conjunction with physician applications for credentials.
Coordinate the gathering of information from other Service Chiefs and assist in the generation of administrative reports, clinical reviews, and workload analyses.
Provide information needed to develop design layout and meet equipment or furnishing needs regarding all new constructions or modifications.
Work with Human Resource Management service in classification review.
Assist the AO in review and update of position descriptions, personnel actions such as promotions, achievement awards, counseling, and disciplinary actions.
Advise employees in training and help develop a skilled work force education and training programs.
Serve as the liaison/point of contact between the Anesthesiology Service and all trainees from other disciplines rotating through the Anesthesiology Service.
Confirm that each resident/trainee has completed all necessary facility specific training requirements prior to engaging in patient care activities.
Serve as a liaison between the Service and the Executive Offices, and the Anesthesiology Department of the University of New Mexico.
Assist the Chief, Anesthesiology Service and Medical Staff credentialing coordinator in providing the information necessary for providers to obtain the training required for credentialing as Licensed Independent Practitioners.
Assist the Chief in recruitment activities, and the coordination of dual appointments for new medical staff members.
Gather the information required for any statistical reports required either by the Regional Director of Department of Veterans Affairs Medical Center Director, or at the direction of the Chief, Anesthesiology Service.
Assist the Chief, Anesthesiology Service in administering Anesthesiology Service contracts and will monitor the contracts for conformity in the absence of the AO.
Work Schedule: Monday through Friday, 7:30 a.m. - 4:00 p.m.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/19/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: reviewing position descriptions, personnel actions for promotions, recruitment requirements; gather necessary information; prepares and review reports, contracts, correspondence, minutes meeting, analyses; monitoring manpower, medical supplies, and equipment; schedule meetings, process employee timecard; new employee computer access.
