This Program Support Assistant position is located at the Northern Arizona VA Healthcare System in the Education and Learning Resources Service. The purpose of this position is to coordinate administrative and support services to assist the Education Department, including workforce development, clinical and simulation education, scholarships, library, audio-visual services and employee orientation.
Duties
This Program Support Assistant position is located at the Bob Stump VA Medical Center in the Education and Learning Resources Service. The incumbent works closely with all positions within Education, providing administrative support in regards to the functions of the department.Major duties of the program support assistant include, but are not limited to:
Independently plans, develops, maintains and reviews departmental data collection, records, methodologies and techniques.
Prepares action plans and makes appropriate recommendations for improvements in data collection, maintenance and work flow processes.
Responsible for maintaining records and files for the department such as meeting minutes, reports, correspondence, records of office transactions, etc.
Performs work directly related to tracking and maintaining budget records.
Serves as the Travel Training Specialist for the Education Department.
Serves as a purchase card clerk and responsible for maintaining accurate records of all transactions of the Education Department's Fund Control Points.
Acts as the primary timekeeper for the Education Department Staff.
Serves as a TMS Administrator and provide help desk assistance to employees, run reports and enter tracking data.
Serves as the New Employee Orientation (NEO) Program Manager.
Performs all other duties as assigned.
Work Schedule: Monday through Friday; 07:30AM to 04:00PM

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/13/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade, GS-05, in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience where you were responsible for providing administrative support; collecting, compiling, and tracking data and information; processing documents and reports; establishing, updating, and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; and providing information and customer service. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is mostly sedentary. Occasionally, light physical effort may be required, such as that involved with walking, stair climbing, and carrying of light office items. The work is performed in an office setting which require normal safety precautions typical for offices and meeting rooms. The work area is adequately lighted, heated, and ventilated.
