This position is located in the Office of the Director service at the VA Eastern Colorado Health Care System (VA ECHCS). The Staff Assistant performs a variety of clerical and administrative duties for the Associate Director, but may include other Executive Leadership Team (ELT) members such as the Director, Deputy Director, Chief of Staff, Associate Director of Patient Care Services, or Assistant Directors.
Duties
Duties include but are not limited to:
Responsible for the coordination and management of VA Eastern Colorado Health Care System daily operations, management and various support of programs, initiatives, and services.
Initiates/reviews/processes communications via email, phone, instant messaging, letters, etc. for internal and external customers, prepares physical and electronic documents and submissions from service lines for routing and signatures.
Assists with all HR actions for their respective Executive Leader.
Plans, develops, and organizes a wide variety of meetings and conferences in support of hospital and VISN policies and programs on behalf of all Executive Leaders.
Develops, researches and gathers all background information/briefing materials for the Executive, including the preparation of the daily read folder that includes calendars, briefings, maps and any other requests of the Executive Leader.
Develops meeting minutes for meetings chaired by the Executive Leader and or any other meeting minutes needed to support the organization. Minutes will be accurate with proper grammar, punctuation, spelling and in the correct ECHCS approved format.
Manages all travel card set-up and maintenance for Executive leaders and their direct reports.
Appropriately refers patient/family complaints directed to the Director's Suite.
Works closely with the various Health Systems Specialist and Public Affairs team to coordinate visits of VIPs and Officials that are in contact with the Executive office.
Provides guidance to Service Administrative Staff and Secretaries for the success of the Executive's services.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: 7:30 am - 4:00 pm Monday-Friday
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for Ad hoc telework. Ad hoc telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/31/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-05. For a GS-09 position you must have served 52 weeks at the GS-07.The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note:Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Specialized Experience for GS-07: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Supports daily operations, management, and various support of programs, initiatives and services, Initiates/reviews/processes communications via email, phone, instant messaging, letters, etc. for internal and external customers, prepares physical and electronic documents and submissions from service lines for routing and signatures, uses all appropriate technology, computer systems, software programs, Microsoft Office programs, data systems, the internet, and other sources of data to provide reliable and up to date data to support decision-making tools and recommendations, manages calendars and scheduling using Microsoft Outlook, and maintains records and files according to organization policy. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 1 full year of graduate level education or superior academic achievement. NOTE: Transcripts must be submitted with application. Education cannot be credited without documentation. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond a bachelor's degree and specialized experience, as described above, to meet the total requirements. NOTE: If using education combined with specialized experience to qualify, a copy of your transcript is required.

Examples of specialized experience would typically include, but are not limited to: Supports daily operations, management, and various support of programs, initiatives and services, Initiates/reviews/processes communications via email, phone, instant messaging, letters, etc. for internal and external customers, prepares physical and electronic documents and submissions from service lines for routing and signatures, uses all appropriate technology, computer systems, software programs, Microsoft Office programs, data systems, the internet, and other sources of data to provide reliable and up to date data to support decision-making tools and recommendations, manages calendars and scheduling using Microsoft Outlook, and maintains records and files according to organization policy, triages customer service complaints and deescalates customer concerns with tact and diplomacy, focuses on team work to accomplish goals of the department. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have a master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree or LL.B. or J.D., if related. NOTE: Transcripts must be submitted with application. Education cannot be credited without documentation. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have successfully completed graduate level education (beyond the first year) and specialized experience, as described above, to meet the total requirements. Physical Requirements: The work is normally sedentary, but includes some walking, standing, bending, and carrying light items such as papers and books. No special physical demands are required to perform the work.
