This position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), at the Raymond G. Murphy VA Medical Center (VAMC) in the Interior Design (ID) Section within the Facilities Management Service. The purpose of this position and the Interior Design Section is to develop a furniture replacement program that includes scheduling and/or upgrading and determining the proper furnishings and accessories necessary to complete the ID scheme of the area.

Duties

Provides administrative management for the Interior Design Section, supporting the daily schedule of the supervisor, workflow and office organization Facilitates appropriate time management reviews, planning and implementing improvements in the overall office operations and program coordination. Assists in coordinating responses to Interior Design requests regarding communication, complaints, and other inquiries from the facility, vendors and co-workers. Discusses special concerns and provides meaningful recommendations. Serves as the TMS coordinator and assists with registering the department staff with training requirements. Prepares correspondence (mail, minutes), slides, educational brochures or documents for the ID Section. Monitors the interior design software, anticipates and plans, coordinates and carries out administrative details, and exercises detailed knowledge of diverse and ambiguous requirements. Analyzes the functions, reporting, record systems and budget process, identifies inaccuracies and irregularities of information, makes recommendations, identifies and defines objectives, priorities and deadlines. Assists with Interior Design inventory management, facilitation and tracking. Assists the Interior Designer with the site visits for space analyses, prep, functionality, and ADA compliance. Prepares a wide variety of recurring internal reports and documents from information obtained from available files, such as budgetary reports, project documents and Statement of Work documents, types letters, memorandum, scopes of work, inventories, rosters, mailing lists and other general office material. Incumbent will be a Credit Card holder. Ordering office supplies, inventory items, store and track. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/21/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: communicating effectively using verbal and written communication skills; Monitoring spending and tracking of expenses of an office or service; Tracking and monitoring of projects; Providing customer service and ensuring customers needs are met. You will be rated on the following Competencies for this position: Administration and ManagementClericalCustomer Service (Clerical/Technical) Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Work can vary from seated at a desk in front of a computer to extensive walking throughout the campus, may require some lifting, 25 lbs, light furniture moving/rearranging, carrying catalogs/artwork/samples etc. Driving, as needed, to CBOC clinics +- 6 hours each way.
