This position supports the Hematology Oncology Service (Hem/Onc) and is assigned to the Martinez Outpatient Clinic within the VA Northern California Health Care System (VANCHCS). The incumbent will provide administrative support to the Hem/Onc staff and perform specialized duties/projects for Hem/Onc throughout VANCHCS.
Duties
Major duties, include but are not limited to the following:
Submit LEAF request forms for clinic modifications (for MDs and techs), clinic cancelations, and new clinics.
Interfaces with appropriate personnel to assure that clinics are correctly scheduled, assures that staff absences and clinic cancellations are appropriately reflected in the clinic schedules.
Responsible for clinic appointments to more efficiently schedule patients and reduce double booking.
Monitor open encounters and pending consults/orders.
Maintains faculty, fellows and resident schedules to ensure that clinics are covered.
Reserve conference rooms for group clinics.
Timekeeping for Hem-Onc staff
Work Schedule: Full Time, Monday - Friday, 8:00am - 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/04/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Typing Requirement: In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test.
(Office Automation) typing requirement of 40 words per minute typing speed -Words per minute are based on a 5 minute sample with three or fewer errors.

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Broad working knowledge of the organizational structure of the Medical Center, Medical Center policies and procedures, and the role, function, diversity, and clinical and education related responsibilities of the Hem/Onc Service from an administrative and clinical perspective.
Knowledge of and thorough familiarity with Microsoft Word, Excel, Outlook, and PowerPoint are essential.
Knowledge of personal computers and management information systems is necessary and also be utilize various PC applications.
Ability to present effectively throughout the Medical Center and will represent the Hem/Onc Service in many different forums.
Ability to possess good English oral and written communication skills and the ability to produce reports, prepare correspondence, and generally represent the service through written media.
Knowledge of Hem/Onc patient care programs preferred. Such knowledge includes familiarity with Medical Center and VACO policies and procedures related to clinic care programs.

Physical Requirements: The work is primarily sedentary. Typically, the employee sits comfortably to do the work, but may be asked to assist in moving supplies and files.
