The incumbent serves as secretary and administrative assistant to the Chief of Pediatrics as well as providing clerical services for the Pediatrics Administration Management Team, specifically the Pediatric staff providers, Inpatient Pediatrics Chief Nurse, Outpatient Pediatric Chief Nurse.
Duties
Receives, tracks, and routes incoming correspondence, reports, and other various forms of communication.
Performs office automation duties to prepare various types of documents, types a wide variety of materials, letters, memos, reports, and minutes.
Serves as point of contact for scheduling meetings, appointments, and conferences for the department. Attends meetings, and prepares meeting minutes.
Receives phone calls and visitors from within and outside the organization.
Performs a wide variety of administrative tasks and functions. Purchasing supplies and equipment, maintaining filing systems, and timekeeping.
Makes necessary travel documents, arrangements, itineraries in preparing and processing for the department.
Qualifications
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
BASIC REQUIREMENT(S):
GS-06 Grade Level: Candidates must have one (1) year of specialized experience equivalent to the GS-05 grade level.
Typing Proficiency Requirement: Applicant must be able to type a minimum of 40 words per minute. A copy of your typing proficiency certification must be submitted with your application.
In addition to the Basic Requirements, you must also meet the Minimum Qualifications stated below.
MINIMUM QUALIFICATIONS:
GS-06 Grade Level: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: performing a variety of clerical/administrative support duties. This experience would include such things as planning and carrying out the work of the office; knowledge to carry out and coordinate, in a timely and effective manner; procedures or operations applied to clerical assignments; working independently; locating and summarizing information from files and documents; the use of automated systems equipment and timekeeping duties.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
