This position is located with the Division of Public Health Service of the Gallup Indian Medical Center, Gallup NM. This position provides administrative tasks associated with maintaining and supporting the work performed by the Division of Community Health.
Duties
Receives, assesses, routes, or otherwise handles incoming and outgoing materials such as controlled or routine correspondence, reports, memoranda, and other forms of written communication.
Perform office automation duties which include the preparation of ad hoc and reoccurring reports, forms, correspondence, and presentations materials which may include complex graphs, charts, and tabular material.
Manages the appointment and meeting schedule for the Supervisory Community Health Nurse, Chief of Community Health as needed and other staff members as directed.
Serves as point of contact; receives calls, refers, and interacts with persons or visitors within and outside the immediate organizational unit including staff of other federal organizations, private industry and the general public.
Performs a wide variety of administrative tasks required to support the work of the organization.
Serves as timekeeper; use the automated timekeeping systems; maintains time and attendance, functions as alternate as needed for other departments;
Prepares and processes documents associated for travel/training requests for staff.
Qualifications
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
GS-05: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Examples include: Performing a variety of clerical support duties. This experience would include such things as planning and carrying out the work of the office; Comprehensive knowledge of administrative activities such as timekeeping, Travel systems, Microsoft, Excel, PowerPoint, maintenance & disposition of records, purchasing supplies, preparation of reoccurring reports and presentations which may include complex graphs, charts and tracking program data. -OR-
Two (2) years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. -OR-
Combination of education and experience that when combined fully meets the requirements for the GS-04 as described above. The combine total percentage must equal at least 100% to qualify.
Applicants must meet the following typing proficiency: 40 words per minute based on a five minute sample with three or fewer errors.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
