You will serve as an Assistant in the Weapons Control & Integration Department of NAVSURFWARCENDLD. You will serve as Executive Assistant, providing high-quality, high-volume administrative support, primarily to the H Department Head and Deputy Department Head.
This position is part of the Warfare Centers Personnel Demonstration Project. NG-03 is equivalent to GS-07/08. NG-04 is equivalent to GS-09/10.
Duties
You will manage the critical evolving needs of the Department Head and Deputy Department Head, including managing calendars, scheduling meetings, making travel arrangements, and processing and routing visitors, phone calls, and e-mails.
You will arrange and take minutes for Board of Director, management, and sponsor meetings.
You will oversee office activity, recommending efficiencies and improved ways to run the office.
You will respond promptly to upper and lower management queries.
You will coordinate team building, training, and social activities, and control office supplies and inventory.
You will synchronize, direct, and control administrative and clerical work for H Department’s five Division and 27 subordinate Branch offices.
You will lead and guide efforts of lower-level secretaries, advising and mentoring them to take on increased levels of responsibility, and striving to retain them as productive members of the workforce.
You will assist with coordination, dissemination, and evaluation of NSWCDD policies and procedures.
You will compose/review correspondence, memoranda, and other materials on technical and non-technical matters for the signature of the Department Head and staff.
You will determine the routing of correspondence to staff members, setting controls and deadlines.
You will establish and maintain sensitive files.
You will serve as a buffer and act as liaison between the senior level staff and Division and Staff personnel by providing accurate, timely advice on procedures, reports, requirements, and other matters necessary.
Requirements

- You will be required to obtain and maintain an interim and/or final security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
- Successful completion of a pre-employment drug test (including marijuana) is required. A tentative offer of employment will be rescinded if you fail to report to the drug test appointment or fail the test. You will be subject to random testing.
- This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.
Qualifications
FOR THE NG-04: Your resume must demonstrate at least one year of specialized experience at or equivalent to the NG-03 (GS-07/08 equivalent) pay band in the Federal service or equivalent experience in the private or public sector managing or coordinating the clerical, secretarial, or administrative support functions for a program, office, executive, or organization. Examples of qualifying experience may include: developing or evaluating administrative policies and procedures; organizing and ensuring the flow of clerical processes; ensuring correspondence, requisitions, personnel action requests, and travel documents adhere to policy; coordinating travel arrangements; de-conflicting or optimizing appointment schedules to maximize time efficiency; coordinating meetings or conferences; developing spreadsheets, charts, or graphs to support executive level requirements.
FOR THE NG-03: Your resume must demonstrate at least one year of specialized experience at or equivalent to the NG-02 (GS-05/06 equivalent) pay band in the Federal service or equivalent experience in the private or public sector performing the clerical, secretarial, or administrative support functions for an office or organization. Examples of qualifying experience may include: preparing correspondence and other documents; coordinating meetings; maintaining the status of action items; scheduling appointments; screening calls or visitors; entering data into electronic systems or spreadsheets to support travel, timekeeping, or procurement.

In lieu of specialized experience, you may qualify with the following education or combination of both education and experience:

- Two full years of graduate level education in a field of study that is directly related to the position; OR
- A combination of specialized experience and graduate education as described above that equates to one year of specialized experience.

- One full year of graduate level education in a field of study that is directly related to the position; OR
- A combination of specialized experience and graduate education as described above that equates to one year of specialized experience.
