You will serve as an Assistant in the Comptroller Department of NAVSURFWARCENDLD. You will serve as the Department Executive Assistant.
This position is part of the Warfare Centers Personnel Demonstration Project. NG-04 is equivalent to GS-09/10.
Duties
You will provide operational assistance and guidance to Code 01 managers (i.e. Department Head, Deputy Department Head, Division Heads and Branch Heads) and employees on various administrative processes and policies.
You will participate as a member of the Department’s management team, performing duties of a highly confidential nature in the “privileged communications” category, including documentation involving sensitive personnel matters.
You will, in the absence of the Department Head, ensure that requests for action or information are made known to responsible staff personnel who can satisfy the request.
You will receive telephone calls, visitors, and e-mail inquiries, providing basic information and referring contacts to the appropriate functional areas within the department.
You will maintain calendars, schedule, meetings, schedule travel, and track action items for the senior managers of the department.
You will prepare and review correspondence, ensuring proper grammar, spelling, punctuation, and compliance with Navy Correspondence procedures.
You will prepare minutes for meetings and manage office supplies for the department.
You will coordinate requirements with other functional areas (e.g. telephones, property passes, IT support, and maintenance services).
You will use various automated tools and create spreadsheets and databases to support effective office management.
You will establish and maintain department filing systems and manage the key inventory for the department.
You will serve as the department Records Management Liaison (RLO) and support the department in all records management requirements and tasks.
You will serve as the department Training Coordinator, informing employees of training opportunities, working with managers to determine priorities, registering employees, and serving as the liaison with the Training Office.
You will develop and implement department-wide processes and procedures.
You will utilize your understanding of business systems and local policies to assist department managers and employees.
Requirements

- This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.
Qualifications
Your resume must demonstrate at least one year of specialized experience at or equivalent to the NG-03 (GS-07/08 equivalent) pay band in the Federal service or equivalent experience in the private or public sector managing or coordinating the clerical, secretarial, or administrative support functions for a program, office, executive, or organization. Examples of qualifying experience may include: developing or evaluating administrative policies and procedures; organizing and ensuring the flow of clerical processes; ensuring correspondence, requisitions, personnel action requests, or travel documents adhere to policy; coordinating travel arrangements; de-conflicting or optimizing appointment schedules to maximize time efficiency; coordinating meetings or conferences; developing spreadsheets, charts, or graphs to support executive level requirements.

Education
In lieu of specialized experience, you may qualify with the following education or combination of both education and experience:
A master's or equivalent graduate degree that is directly related to the position being filled.
OR
Two full years of graduate level education in a field of study that is directly related to the position being filled;
OR
A combination of specialized experience and graduate education as described above that equates to one year of specialized experience.
