Duties
Duties at full performance level:
Receive visitors and telephone calls to the office, determines the nature of requests and directs callers or visitors appropriate staff, or personally provides the information as appropriate.
Receive incoming correspondence, screens materials and routes to appropriate personnel based on knowledge of functional responsibilities and current activities.
Monitor electronic mail received by the division manager for content, bringing critical items to the attention of the division manager.
Coordinate or personally accomplishes travel arrangements, including making reservations and submitting travel vouchers, for the division manager and other division employees as required.
Provide leadership and technical guidance to other secretaries within the Division.
Qualifications
In order to be rated as qualified for this position, the HR Office must be able to determine that you meet the specialized experience requirement - this information must be clearly supported in the resume.
To qualify at the GS-06: you must possess one year of specialized experience equivalent in difficulty and complexity to at least the GS-05 level in federal service having demonstrated experience with but not limited to: Coordinating appointments, schedules, and travel; taking appropriate follow-up action on emails, etc.; reviewing correspondence for proper spelling and grammar; responding to incoming and outgoing telephone inquiries and visitors; using computers to complete assignments to include applying word processing and other software programs; attend meetings providing feedback.
To qualify at the GS-07: you must possess one year of specialized experience equivalent in difficulty and complexity to at least the GS-06 level in federal service having demonstrated experience with but not limited to: Coordinating appointments, schedules, and travel; taking appropriate follow-up action on emails, etc.; reviewing correspondence for proper spelling and grammar; responding to incoming and outgoing telephone inquiries and visitors; using computers to complete assignments to include applying word processing and other software programs; attend meetings providing feedback; performs variety of budgetary functions, research, compiles data for formulation of budget estimates; prepares a variety of routine reports.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
