This position is a Secretary (Office Automation), GS- 0318-7/8 working in Sacramento, California, for the R8-Sacramento Fish and Wildlife Office. Duties

As a Secretary (Office Automation) your duties will include, but are not limited to, the following: Calendar and Schedule Administration: Prioritizes and schedules activities for the Project Leader and Deputy Project Leader, ensuring that appropriate representation of internal staff, Federal, state, and public officials are present. Exercises control over the Project Leader and Deputy Project Leader calendar, with complete delegated authority for commitment of time for appointments, conferences, and speaking engagements. Advises Project Leader and Deputy Project Leader of appointments and other commitments made, which may influence future decisions. Scheduling to include establishing the date, time, and duration, selecting and reserving the location, coordinates and notifies attendees. Schedules or redirects meetings commitments for the Project Leader and Deputy Project Leader with Regional Office staff, high-level U. S. Fish and Wildlife Service staff, Department of the Interior staff, Congressional representative, Federal, state, county, and city officials, Tribal representatives, media, land owners, and other high-level ranking officials. Travel Services: Plans and schedules, and coordinates travel for the Project Leader and Deputy Project Leader, including complicated itineraries. Obtains transportation reservations, arranges hotel accommodations, obtains special authorization, when necessary, completes and submits travel vouchers, and notifies organizations and officials of visits. Maintains current knowledge of Federal Travel Regulations. Examines all travel vouchers of direct reports to the Project Leader and Deputy Project Leader for completeness, accuracy, and adherence to current travel regulations prior to approval. Coordinates revisions and corrections with appropriate Division secretaries and office assistants. Meeting Support: Makes necessary arrangements for conferences, meetings, teleconferences, and video teleconferences, including space, time, people, etc. Assembles background and conference materials for supervisor use. Attends meetings and conferences, prepares summary notes of proceedings, and prepares minutes of meetings or conferences for distribution to participants. Responds to inquiries on behalf of the Project Leader and Deputy Project Leader regarding such matters as appointment confirmation, dates and arrangements for visiting groups, meetings, conferences, etc. Correspondence: Receives, reviews and routes incoming mail. Determines which items should be brought to the attention of the Project Leader and Deputy Project Leader or redirected to another staff member. Prepares replies to correspondence not requiring special handling by the regional staff. Makes recommendations as to the importance of material and attaches any available previous correspondence or reference material to facilitate final action. Utilizes a variety of software systems (e.g., Word, Excel, PowerPoint) to accomplish work assignments, using judgement in selecting spacing, arranging material and ensuring proper punctuation, grammar, spelling, and capitalization. Uses knowledge of software utilities to move text and formatting between multiple types of software to facilitate communication through various modes. Promotion Potential: This position involves a multi-grade career ladder. The major duties listed represent the full performance level of GS-08. At lower grade levels, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-08. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher level work, and availability of funds. The selectee may be promoted without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Qualifications

Only experience and education obtained by 06/18/2024 will be considered. In order to qualify for this position you must possess the following minimum qualifications: Minimum Qualification (GS-07): Possess one year of specialized experience equivalent to the GS-6 level in the Federal service (obtained in either the public or private sectors). Specialized experience includes: (1) Utilize a business, corporate or government purchase card with oversight; (2) Schedule appointments, meetings or travel; (3) Utilize word processing, spreadsheet, and database software; (4) Track time and attendance; (5) Receive calls or visitors and direct them to appropriate person or subordinate office; (6) Prepare correspondence, reports, forms, requisitions, or requests for personnel actions; and (7) Provide basic coordination and pertinent information on office functions. Minimum Qualification (GS-08): Possess one year of specialized experience equivalent to the GS-7 level in the Federal service (obtained in either the public or private sectors). Specialized experience includes: (1) Utilize a business, corporate, or government purchase card to purchase supplies and/or materials and track expenditures; (2) Schedule travel authorizations, policy, and procedures on behalf of others; (3) Utilize Outlook calendar to manage calendars and appointments for senior manager(s); (4) track time and attendance for others in an automated system; (5) Receive calls or visitors and direct them to appropriate person or subordinate office; (6) Prepare correspondence, reports, forms, requisitions, or requests for personnel actions while ensuring proper format, conformance with procedural instructions, grammar, punctuation, and spelling; (7) Maintain office filing system; and (8) Ensure coordination of office functions. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

PROOF OF EDUCATION: All applicants who are using education or a combination of education and experience to qualify must submit copies of official or unofficial transcripts which include grades, credit hours earned, major(s), grade point average or class ranking, institution name, and student name. If any required coursework is not easily recognizable on transcripts, or if you believe a portion of a particular course can be credited toward meeting an educational requirement, you must also provide a memorandum on letterhead from the institution's registrar, dean, or other appropriate official stating the percentage of the course that should be considered to meet the requirement and the equivalent number of units. Unofficial transcripts are acceptable; however, if you are selected for the position, you will be required to produce the original official transcripts.

PASS/FAIL COURSES: If more than 10 percent of your undergraduate course work (credit hours) were taken on a pass/fail basis, your claim of superior academic achievement must be based upon class standing or membership in an honor society.

GRADUATE EDUCATION: One academic year of graduate education is considered to be the number of credits hours your graduate school has determined to represent one academic year of full-time study. Such study may have been performed on a full-time or part-time basis. If you cannot obtain your graduate school's definition of one year of graduate study, 18 semester hours (or 27 quarter hours) should be considered as satisfying the requirement for one year of full-time graduate study.
