This is a Temporary Promotion not to exceed 1 year. At the discretion of management, it can be terminated at the NTE date or at any date before. There is no entitlement to advance notice.
This temporary promotion may be extended up to a total of 5 years or made permanent without further competition.
Duties
As a Secretary (Office Automation) in the United States Attorney's Office (USAO), you will join a well-respected team that is responsible for providing a variety of technical and administrative support services to the United States Attorney's Office, Eastern District of California. As a Secretary to the First Assistant United States Attorney and Executive Assistant United States Attorney, you will, among other duties:
Work as part of the front office team, occasionally covering duties and assignments from members of the senior management team, including serving as back-up Public Information Officer.
Establish and maintain applicant files for attorney positions, including related spreadsheets, correspondence, and evaluations, in addition to coordinating interview panels.
Establish and maintain correspondence and files related to Giglio requests for agents who will serve as witnesses in the district.
Screen telephone calls and visitors desiring to speak with executive management and determine which calls must be referred and which can be resolved personally or by a more appropriate staff member.
Edit written material for adherence with supervisor's established policies, writing style, and previously expressed views, as well as for conformity with office policies and correspondence procedures.
Compose a variety of written material that varies in subject and format, but typically requires drafting appropriate correspondence to reflect supervisor's established policies and special interests.
Responsibilities will increase and assignments will become more complex as your training and experience progress.
Requirements
- You must be a U.S. Citizen or National.
- Initial appointment is conditioned upon a satisfactory pre-employment adjudication. This includes fingerprint, credit and tax checks, and drug testing. Continued employment is subject to a favorable adjudication of a background investigation.
- You must be registered for Selective Service, if applicable.
- If selected, you may be required to complete a one year probationary period.
- Time-in-Grade: Federal employees must meet time-in-grade requirements within 30 days after the closing date of this announcement.
- You must meet all qualification requirements within 30 days after the closing date of this announcement and before placement in the position.
Qualifications
Note: In order to be considered "qualified" for this position, your specialized experience must be described in your resume. GS-08:
To be eligible at the GS-08 level, you must have at least one full year of specialized experience equivalent to the GS-07 level.
Specialized experience:
Performing a wide range of secretarial and administrative support functions. Examples of specialized experience may include managing attorney schedules, reviewing and preparing legal forms and correspondence, screening phone calls and visitors, reviewing outgoing correspondence for compliance with office policies, and dealing with senior executives (such as officials of federal, state, and local governments).
To be qualified, you must type at least 40 words per minute based on a five-minute typing sample with three or fewer errors. A typing test may later be required.
GS-09:
To be eligible at the GS-09 level, you must have at least one full year of specialized experience equivalent to the GS-08 level.
Specialized Experience:
Performing a wide-range of high-level secretarial and administrative support functions. Examples of specialized experience may include establishing priorities and arranging, changing, or canceling appointments and meetings for supervisor; handling matters addressed to supervisor that do not require their personal attention; presenting the views of supervisor in correspondence and other communications, ensuring prepared documents are in proper format and consulting with document author to resolve questionable material; producing a variety of written documents and information reports utilizing varied and advanced functions in different types of office automation software; handling office emergencies; and resolving situations requiring initiative based on established objectives.
To be qualified, you must type at least 40 words per minute based on a 5 minute sample with three or fewer errors. (A typing test may later be required.)
