Reclamation is seeking a career professional looking for an opportunity to capitalize on their expertise as a Secretary (Office Automation). You can make a difference in the West by assisting in meeting increasing water demands while protecting the environment.
Duty Location: Sacramento, California.
Duties
Duties at the full performance level:
Serves as the initial point of contact for the office for visitors and telephone calls from Congressional, State and local staffs, media, consultants, other Reclamation and Federal agency personnel, and the local public.
Coordinates and makes extensive travel arrangements. Establishes trip folders, complete with itinerary. Provides details on directions, where meetings will be held, hotels, rental car arrangements, etc. Prepares travel requests, travel vouchers, and associated actions and documentation.
Maintains supervisor's appointment schedule with full authority to make commitments of time, establish priorities, and reschedule appointments. Makes arrangements for meetings; reserves meeting facilities; and reminds staff members of meetings.
Reviews, routes, and distributes incoming correspondence, ensuring proper spelling, grammar, format, and arrangement of material. Uses judgment to determine releasable material and signs or releases correspondence.
Responds to and plans for the administrative needs of the office, including submitting and providing status of personnel action requests.
Ensures files and directives within the office are kept current, and revisions, deletions, and any other changes are posted in a timely manner. Annotates and cross-references material to direct staff to changing regulations. Performs periodic inventory of file documents within the office.
Qualifications
In order to be rated as qualified for this position, the HR Office must be able to determine that you meet the education and/or general work experience requirement - this information must be clearly supported in the resume.
To qualify at the GS-05: you must possess one year of specialized experience equivalent in difficulty and complexity to at least the GS-04 level in federal service having demonstrated experience with but not limited to: providing telephone and receptionist services; Maintaining records; Requisitioning office supplies; Filing material and maintaining office filing system; Receiving and controlling incoming and outgoing correspondence and reports for format, grammar, and punctuation.
OR
EDUCATION: A Bachelor's degree or four (4) years of education above high school in any field of study from an accredited college or university. (NOTE: You must attach a copy of your transcripts.)
OR
An equivalent amount of combined education and experience. Only education more than 60 semester hours, 90 quarter hours or 1440 classroom hours is creditable toward meeting the specialized experience requirement for the GS-5 level. For example, one full year of academic study (30 semester hours, 45 quarter hours, or 720 formal classroom hours) beyond the second year is equal to 6 months of specialized experience. To be creditable, education must have been obtained in an accredited business, secretarial or technical school, college, or university. (NOTE: You must attach a copy of your transcripts.)
To qualify at the GS-06: you must possess one year of specialized experience equivalent in difficulty and complexity to at least the GS-05 level in federal service having demonstrated experience with but not limited to: providing telephone and receptionist services; Maintaining records; Requisitioning office supplies; Filing material and maintaining office filing system; Receiving and controlling incoming and outgoing correspondence and reports for format, grammar, and punctuation; Writing simple or repetitive, non-technical correspondence such as letters of acknowledgment; Scheduling appointments and preparing notes regarding topics to be discussed.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Time-In-Grade: Current career or career-conditional employees of the Federal government, or former career or career-conditional employees, who have a break in service of less than one year, are required to meet the time-in-grade restriction of one year of Federal experience at the next lower-grade, with few exceptions outlined in 5 CFR 300.603(b).
You must meet all Eligibility and Qualification requirements, including time-in-grade restrictions and any selective placement factors if applicable, by 08/15/2024.
Education
This vacancy announcement allows substituting education for experience at the GS-05 grade level. Applicants must submit a copy of college transcript(s) (unofficial copy is acceptable) to support claimed education if substituting education for experience. Transcripts must include the name of the college or university and date the degree was conferred. A typed list of courses, grades, semester/quarter hours, GPA, etc. will not be accepted. Non-submission may result in being rated not qualified for the position.
This position does not allow substituting education for experience for the GS-06 level.
You will be required to provide official college transcripts to verify educational qualifications, if selected. An official transcript must be sent directly from the University's Registrar's office and must be provided from the institution awarding the degree. Academic transcripts certified by notary publics are NOT official. Official transcripts must be submitted prior to reporting to work as a condition of employment. Failure to submit official transcripts may be grounds for dismissal or rescission of the job offer.

Foreign Education: To receive credit for education completed outside the United States, you must show proof that the education has been submitted to a private organization that specializes in interpretation of foreign educational credentials and such education has been deemed at least equivalent to that gained in conventional U.S. education programs.
