As the Secretary, assigned to Medical Service, you serve as the personal secretary and office manger to the Chief of Medical Service, responsible for performing a wide spectrum of secretarial and administrative duties to relieve the Chief of Medical Service of a myriad of administrative details and to ensure an efficient and effective office operation.
Duties
Duties include but are not limited to:
Follow up actions such as Service assigned Action Items, Tort Claims, Peer Review cases, Reports of Special Incidents QA/OS IJR/OS, and MCCF are done.
Trains and ensures subordinate secretaries/program support assistants in the 17 sub specialty clinics are proficient in the credentialing process.
Servers as a technical advisor in the appointment, promotion and termination process of 64 residents and 36 fellows processed by Program Support Assistants of the Service.
Maintains the Service Chief's calendar.
Schedules the appointments and meetings, reserves conference rooms, sets times and contacts key personnel attendees, prepares agendas for service.
Coordinates correspondence and the completion of administration requirements within the service.
Tracking vacancy announcements coordinating interview panels and questions.
Tracks part-time compliance with duty hours and performs annual reviews.
Responsible for coordination of meetings, transcription of minutes and compilation of multiple reports.
Maintains Service level monitoring on compliance with performance appraisals, ECF, proficiency reports, competence assessment and timely submission of performance pay.
Performs other related duties.
Work Schedule: Monday through Friday, 8:00am-4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/19/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-08 position you must have served 52 weeks at the GS-07.
The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Preferred Experience: Experienced in the use of a computer and it's programs/software.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Compose letters and reports, edits letters, reviews correspondence for accuracy and completeness, prepares public presentation outlines and develops standard form letters. Responsible for the initial/re-privileging process of over 180 licensed independent practitioners. Servers as a technical advisor in the appointment, promotion and termination process of 64 residents and 36 fellows. Maintains Service level monitoring on compliance with performance appraisals, ECF, proficiency reports, competence assessment and timely submission of performance pay. Takes and transcribes minutes of staff meetings and any other Ad-Hoc committees. Tracking vacancy announcements, coordinating interviews, questions, and panels for the service. Maintains an adequate stock of office supplies. Serves as an alternate timekeeper for all T&L units under Specialty Care.

Physical Requirements: The employee will mostly work in an office setting and most of the time deskbound, using a computer for major tasks, nevertheless; the employee may spend some time standing, bending, and lifting items for filing and storing supplies. No special physical demands are required to perform the work.
