This position is in the Division of Safety and Risk Management, Office of Facilities, Property, and Safety Management located in Albuquerque, New Mexico. The incumbent will provide administrative support with travel, budget, initiating, reviewing, and processing correspondence, records management, preparing reports and requisitions, program compliance actions, procurement, filing, maintaining calendars, and program workflow control services, among other administrative management duties.
Duties
Reviews and analyzes all types of memoranda to independently determine coordination, clearances, conciseness, timeliness, and other elements of completed staff work.
Researches, maintains, and assembles information for management’s decision making, such confidential matters, personnel issues, award determinations, and budget matters.
Conducts budget evaluations and forecasting, and keeps management apprised on budget issues, and spending at all times.
Analyzes potential problems and situations in workflows, work distributions, and work processes and recommends corrective actions to staff and management.
Organizes, establishes, and maintains administrative policies and procedures, and carries out its administrative and management functions.
Uses computer software including database management, word processing, spreadsheets, graphics, desktop publishing, and other similar software to create, enter, revise sort, calculate, retrieve, and finalize data for a variety of purposes.
Coordinates interviews, schedules appointments, meetings, and conferences and assembles materials for meetings.

Qualifications
GS-7: To qualify for this position at the GS-07 grade level you must have one year of specialized experience at the GS-5 grade level or equivalent in performing ALL of the following: 1) Experience utilizing various office automation equipment and software to prepare and review correspondence, reports and other documents; 2) Experience preparing documents, reports, charts, spreadsheets, and/or graphs using software applications in word processing and data base software; 3) Experience requisitioning office supplies, equipment, and ordering repairs; 4) Experience scheduling, planning and coordinating the administrative affairs of a supervisor including maintaining a supervisor's calendar and accepting and declining appointments; and 5) Experience receiving telephone calls and visitors for an office and directing them to the appropriate staff.
OR
Education: Have successfully completed a 1 full year of graduate level education or an equivalent combination of experience and education that totals 100% of the requirement OR Superior Academic Achievement.
GS-9: To qualify for this position at the GS-09 grade level you must have one year of specialized experience at the GS-07 grade level or equivalent performing ALL of the following: 1) Experience interacting with high level officials and outside contacts both over the phone and in person; 2) Experience planning and arranging logistics for large events and conferences; 3) Experience preparing analytical data for review and comparison; and 4) Experience assisting in the evaluation of operating procedures, administrative controls, and report systems to develop or improve work processes
OR
Education: successfully completed two (2) full academic years of progressively higher level graduate education leading to a Master's degree or equivalent graduate degree or a LL.B or J.D., in a related field of study OR a combination of specialized experience and education that totals 100% of the requirement for the position.
