About the Position: Serves as the executive-level administrative support assistant to the Dean of Academics of the Command and General Staff College. Manages all correspondence in the Dean's office. Keeps the schedule for the Dean and the Associate Dean. Provides administrative support to the 5 Academic Chairs of CGSC. Management has the option to select at the GS-05 or GS-06 Grade level.

Duties

As a Secretary (Office Automation), you will perform the following duties which is not an all-inclusive list: Manages all correspondence in the Dean's office utilizing correct grammar, spelling, punctuation, arrangement, and required formats. Utilizes the Defense Travel System (DTS) to make travel arrangements for the Dean, Associate Dean, and staff to include transportation, orders, billeting, and completion of travel voucher upon return. Maintains the Dean's calendar and schedules appointments, conferences, briefings, and office calls. Establishes and maintains administrative and suspense files. Serves as Time and Attendance clerk, ensuring time sheets are punctual, accurate, and complete. Inputs all time and attendance into the computerized Defense Civilian Payroll System for transmission to the Finance and Accounting Center. Provides advice and assistance to action officers on administrative matters and correct procedures.

Requirements

  • Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
  • Must be a qualified typist and able to type 40 words per minute.
  • Must be able to obtain and maintain a Secret security clearance throughout the duration of employment.
  • Temporary Duty (TDY), may be required up to 5% of the time.

OR Combination of Education and Experience: Combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages. (Note: Must attach a copy of your transcripts.) GS-06 - Specialized Experience Statement To qualify based on your experience, your resume must describe at least one year of experience which prepared you to do the work in this job. Specialized experience is defined as: Work which includes 1) Maintaining calendars for management; 2) Scheduling meetings, appointments, conferences, briefings, office calls and travel plans; 3) Establishing and maintaining suspense files; 4) Composing and reviewing correspondence such as: memorandums, letters and reports; and 5) Utilizing automated systems to perform a variety of clerical and administrative duties. GS-06 - Some federal jobs allow you to substitute your education for the required experience in order to qualify. For the GS-06 grade level, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.
