Duties

The incumbent serves as Administrative Officer, providing assistance on a wide range of administrative, management, and personnel matters. The incumbent is the expert on such matters and is responsible for planning and directing the administrative/resources management program of the office. As an Administrative Officer, you will: Identify problems that may have a significant effect on office operations, administrative practices, communications. Serve as an Information Resource Coordinator and manages the Division/Associate Chief Counsel offices' federal records in accordance with the Division/Associate Chief Counsel offices' file plans and appropriate record control schedules. Conduct an ongoing assessment of administrative operations and systems to identify how and when they require modification, simplification, elimination, or when new ones are required for efficient operation of the Division/Associate Chief Counsel offices. Responsible for the preparation, processing, and tracking of reports and responses to requests from the Division/Associate Chief Counsel relating to personnel, fiscal, facilities management, acquisition of supplies, equipment, and staffing. Analyzes workflow, determines problem areas, develops guidelines, and provides advice and assistance to the Division/Associate Chief Counsel offices and other management officials on all phases of administrative management, providing solutions to problems arising in connection with operating policies, programs, workloads, staffing and other managerial concerns. Serve as timekeeper. Troubleshoots timekeeping and leave questions/problems. Provide advice to employees and managers on leave situations. Credit card ordering/reviewing. Maintain SharePoint. To qualify for this position of Administrative Officer you must meet the qualification requirements listed below by the closing of this announcement: For GS-9: Specialized Experience: Your resume must detail at least one year of specialized experience which includes: Coordinating and monitoring the functions of administrative services within an office; providing guidance and assistance in matters relating to personnel issues; knowledge of office policies, procedures, and regulations; managing items such as time/attendance/labor, travel, or fiscal administration. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-7). OR Education Substitution: You may substitute education for specialized experience as follows: Master's or equivalent graduate degree, or 2 full years of progressively higher level graduate education leading to such a degree, which demonstrates the knowledge, skills and abilities necessary to do the work of the position, such as: business or related. OR Combination of Education and Experience: You may qualify by a combination of experience and education: Options for qualifying based on a combination are identified in the online questions. NOTE: If qualifying based on education, your transcripts will be required as part of your application package. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. One year of experience refers to full-time work; part-time work is considered on a prorated basis. To ensure full credit for your work experience, please indicate dates of employment by month/year, and indicate number of hours worked per week, on your resume. Time in Grade Requirement for GS-9: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-7).
