This position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), Mid Atlantic Health Care Network (VISN 6), Salem VA Medical Center (VAMC), in the Geriatrics & Extended Care (GEC). The incumbent performs duties such as resource management, data collection, workload reporting policies and procedures related to the GEC programs.
Duties
DUTIES:
Provides administrative coordination for the management of GEC programs.
Provides administrative coordination and the day-to-day operations of the GEC programs among the offices of the Chief, GEC at the VAMC and the program directors at the Salem VAMC.
Ensures a well-functioning administrative environment within the GEC programs and maintains regular contact with the administration/staff at the VAMC.
Serves as prime point of contact for the GEC as well as the Salem VAMC regarding program policies, submission of various reports and surveys to accrediting bodies, and the overall goals of the program. Interprets and applies regulations and procedures concerning GEC programs.
Collects, reviews, and screens all supporting documentation for GEC programs based on Program Directors' guidelines.
Assists program directors and associate program directors in the development of program strategy.
Handles all correspondence received and analyzes for appropriate distribution to the program. The incumbent tracks fund control point balances for the purpose of ordering office supplies. Maintains supply inventory and assist with equipment inventory.
Assist in maintaining the inventory or all chemicals being stored and updating the SOS booklets for each section.
Maintains administrative files, assists in developing the needs and how to accomplish them, and resolution of problems as they arise.
Serves as liaison between record management and hospital administration regarding GEC resources. Assist in maintaining schedules/calendars on a regular basis.
Collects, researches, and analyzes data for the preparation of reports required by Administrative staff of GEC Service line.
Receives and processes incoming and outgoing correspondence, reports, and computer information.
Establishes protocols for incoming data, retrieves computerized data, and organizes data.
Reviews all materials in relation to need for follow-up actions and general information.
Establishes priorities on verbal and written communication requests from various Veterans Affairs offices and private health care facilities.
Independently composes and prepares correspondence and reports.
Posts time and is responsible for maintaining timesheet records pertaining to time posting.
Performs other related duties as assigned.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Monday- Friday 8am-4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/20/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: primary timekeeper, tracks fund control point, maintain inventory and order office supplies, maintains administrative files, maintain schedules/calendars, collects, research and analyze data for reports, identify problems and make recommendation, receives and processes incoming and outgoing correspondence, reports, retrieves computerized data, and organizes data, composes and prepares correspondence and reports, assist with computer, printer, fax and telephone trouble shooting as needed, ability to use varied software programs, providing direct assistance to physicians and nursing staff in order to secure objectives of GEC programs.

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying or pushing carts of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work. Considerable time is spent at a computer.
