The primary duties of the Program Support Assistant will be to provide administrative support to the Associate and Assistant Chiefs of Medicine and the Supervisory Program Analyst (SPA) which involves human resource processes within Medical Service.

Duties

Prioritize multiple assignments with competing deadlines. Work under pressure where fluctuating deadlines and priorities often occur. Assists the Supervisor and takes a supportive role in the administrative/HR functions of the program such as quality assurance, policy and procedure development, program planning, preparation of reports, etc. Process verbal and written communications from a variety of sources. Communicate effectively with a variety of people (staff, management, Veterans, etc.) Receives requests for service, via the telephone or in person, and clearly and accurately relays the request to the appropriate staff member. Independently design and develop various spreadsheets, databases and reports. Utilize computer software, such as Microsoft Word, Excel, Power Point, etc., to create tables, charts, and graphic presentations. Utilize computer software for word processing to produce correspondence, forms, and reports. Utilize complex spreadsheets to track all incoming request from point of initiation to completion. All other duties assigned by management. Work Schedule: Monday - Friday, 8:00 am to 4:30 pm, subject to change based on needs of the facility. Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/16/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: effective verbal and written communication skills experience in managing transcription, video and other forms of technology experience in creating and managing suspense files for meetings and Action Items efficient computer skills, including use of Microsoft Office and various other computer applications experience in fund control point management experience in managing time and attendance systems as a timekeeper knowledge on use of government purchase cards and accounts management experience in scheduling appointments experience in filing and other general administrative skills Note: Experience must be clearly indicated in your resume. OR Education: Successful completion of four (4) years of education above high school in any field which high school graduation or the equivalent is the normal prerequisite. OR Combination of Education & Specialized Experience: Successful completion of post high school education (beyond the second year) and specialized experience as described above, which meet the total experience requirements for this grade level. You will be rated on the following Competencies for this position: CommunicationComputer SkillsPlanning and Evaluating Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Physical demands of the position are quite limited. The work is mostly sedentary, but some walking, bending, stooping and carrying are required.
