The position serves as the Lead Scanning Technician and the Medical Record Retrieval Clerk for the Scanning Division of the Health Information Management Section (HIMS) of the Business Office. The Lead provides guidance and training to the Scanning Unit staff, coordinates the workflow, monitors daily workload, and performs regular Scanning duties.

Duties

Major Duties listed but not limited to: Responsible for performing training for all new staff as well as re-training for staff when problems are identified. Ensures work is distributed equitably to all staff and completed daily. Maintains workload reports for the unit and notifies the supervisor of any backlog. Assists the supervisor in developing Standing Operating Procedures for staff to follow to promote timely and accurate scanning to ensure a complete and comprehensive medical record exists and to ensure all directives regarding scanning operations are followed. Resolves simple, informal complaints of employees referring others to the supervisor. Performs regular duties of the Scanning Technician on a daily basis. Responsible for electronically scanning various health information documents into VistA Imaging and ensuring that the scanned documents are associated to the correct patient, note and consult, as applicable. Receives requests for medical and/or administrative records that are located off-site at a commercial storage facility and at the Federal Records Center. Uses multiple programs to determine the location of the records including VistA Medical Record Tracking option, Iron Mountain Secure Portal, Federal Records Center on-line record system. Maintains an electronic report of records requested, records located and the status of each request. Uploads and/or scans in documentation retrieved from commercial and Federal Records Center following scanning guidelines and performs Quality Assurance on images. Receives documentation from outside facilities on CDs and performs virus scan on them prior to uploading into VistA imaging. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/09/2024. You may qualify based on your experience and/or education s described below: GS-05 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Ability to apply various software applications required for processing and integrating records such as VistA applications for record tracking, Text Integration Utility (TIU), VistA Capture and Display applications, Computerized Patient Record System (CPRS) or identified electronic record system, Microsoft Office products such as Word, Excel and Outlook, training application programs, time and attendance applications, and various web based systems for training and VA processes. OR Education: Applicants may qualify based off education and will require 4 years of education above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. (TRANSCRIPTS REQUIRED) OR Combining Education and Experience: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-5 and below (TRANSCRIPTS REQUIRED) NOTE for combining education and experience - For GS-5 level positions, only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. Example: The position to be filled is an Editorial Assistant, GS-5. The applicant has 9 months of specialized experience and 75 semester hours of college (15 semester hours beyond the second year and the equivalent of 3 months of specialized experience). The applicant meets 75 percent of the required experience and 25 percent of the required education. The applicant meets 100 percent of the requirement for 1 year of specialized experience and is qualified for the position. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
