This position is located under the guidance of the Social Work Service, Geriatrics & Extended Care, Community Based Programs. Incumbent serves as the Program Support Assistant to the Community Nursing Home (CNH) Program Coordinator and CNH Team at James A Haley Veterans Hospital. Duties will consist of program support assistant and lead office automation work; management and coordination of the administrative, financial management, technical operations and support functions of the care programs.
Duties
In the absence of the Program Coordinator, serves as the point of contact for the Community Nursing Home Program and provides vital program information to the CNH Team, Contracted Nursing Home staff, local hospital staff and other VA Social Work Service staff nationwide.
Responsible for verifying the Veterans eligibility for the Community Nursing Program.
Coordinating services and providing guidance to contracted facilities to aide them in providing required medical documents and invoices for payment.
Serve as manager and control point clerk of the Community Nursing Home Program Fund Control Point.
Audit invoices received from program vendors and after audit, timely and efficiently process payments utilizing the VA Medical Fee Menu and electronically forward to Fiscal Services for payment.
Maintain financial spreadsheets, ensuring appropriate utilization of funds, making certain that there are no budget deficits, and be responsible for reporting this information to the Service Chief, Administrative Officer and Program Coordinator.
Maintains and tracks program authorizations, VA Contract files, CNH Census, Patient Activity Reports, patient movements, as well as, the preparation of all program reports.
Maintains Community Nursing Home Program database, provides available resource information and makes recommendations regarding needs and distributions of these resources; coordinates correspondence for the CNH Program and serve as a vital team member in the daily operation of the program.
Manages multiple competing priorities as well as other administrative duties.
Work Schedule: Monday through Friday, 8:00am to 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/29/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Preferred Experience:
Demonstrated proficiency in computer technology and common software programs (i.e., Microsoft Office Suite, Word, Excel, PowerPoint, SharePoint, Access etc.) and other electronic data and documentation programs.
Demonstrated proficiency in VA software programs VISTA, CPRS, PPMS and HSRM.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Receiving and directing telephone calls and greeting visitors. Processing and auditing payments and ensuring all appropriate documentation is received before payments are made to contracted parties. Preparing correspondence, reports, and other documents based on information gathered from program files or other records. Establishing and maintaining program files and records. Knowledge of various office automation software, processing procedures, and function keys to produce a wide range of documents, such as graphics or tables within text, editing and reformatting electronic drafts, and updating and revising existing databases or spreadsheets.

Physical Requirements: The work required of this position is primarily sedentary with some walking, standing, bending, and carrying items such as books, papers and files.
