The incumbent is assigned as a Program Support Assistant for the Pharmacy Service at the James A. Haley Veterans' Hospital and Clinics (JAHVH). The purpose of this position is to support the Pharmacy service, as a customer service liaison, timekeeper, and provide administrative support tasks.

Duties

Duties include but are not limited to: Triages correspondence and communications for the service and determines which items require immediate attention and which are confidential/protected health information in nature. Serves as a primary timekeeper for Pharmacy Service Independently coordinates all pharmacy trainee rotational experiences within JAHVH. This includes onboarding/exit process for pharmacy interns between the University, intern, Education, HR, Security, and OIT. Works closely with students to ensure all VA onboarding deadlines are met for paperwork, finger printing and other required documentation. Coordinates with security about special agreement check dates. Coordinates special accommodations needed for students (hearing impaired, room for pumping, extension of rotations, reschedule of rotations). Submits termination documents to HR/Education, Police, Pharmacy Informatics/OIT, and return badges to Security for destruction. Drafts, revises, and ensures all affiliation agreements between Pharmacy schools and the Pharmacy Service are maintained, reporting the status of these documents to the Affiliations Committee as required. Provides quality control checks on data by independently monitoring and analyzing completion of monthly ward inspections for all clinic/ward locations in JAHVH. Provides feedback to Pharmacy Supervisors and Chiefs of any trends identified upon review of ward inspection findings. Independently drafts policies and/or standard operating procedures for any of the topics above in which the PSA is a SME such as Pharmacy Emergency Management Employee contact database system, records management procedures for the service, student rotational experiences, check in process for pharmaceutical representatives site visits, and monthly ward inspections. Assist with committee meeting minutes and preparing agenda. Serves as project coordinator for Pharmacy Continuing Education programs. Work Schedule: 8:00am - 4:30pm, Monday - Friday Virtual: This is not a virtual position. Occasionally, light physical effort may be required, such as that involved with walking, stair climbing, carrying of light office items, stooping, bending, and carrying for retrieval of administrative materials and inventory equipment/supplies are required.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/26/2024. Typing Requirement: This position has a typing requirement of 40 words per minute. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Comprehensive knowledge of complex pertinent laws, regulations, policies, and precedents, VHA Handbooks, Directives, Memos, and Notices, and local medical center procedures related to the principles, practices and program goals of the Pharmacy Service. Considerable working knowledge and understanding of accreditation standards and principles, provisions and practices of inpatient/outpatient/clinical Pharmacy and regulatory procedures such as The Joint Commission and Office of Inspector General/Combined Healthcare Inspection Program (OIG/CHIP), which affect the use of program related support resources in the area of Pharmacy. Comprehensive knowledge of Pharmacy policies, including but not limited to those pertaining to pharmacy security, pharmacy company representatives, medication management, and records management. Skill to communicate technical information orally to a diverse group of individuals with varying levels of understanding and in writing to prepare emails, letters, and reports. Knowledge of the contacts required for completion of assigned duties. Knowledge of medical terminology, including pharmacy specific terminology, to analyze ward inspection reports, records in need of triage, and troubleshooting internal/external customer complaints. Skill in using software applications such as Microsoft suite, email management, electronic meeting scheduling and facilitation, data bases and internet database applications for data entry, file maintenance and data retrieval.
