The primary purpose of this position is to serve as the Administrative Support Assistant to the Chief Nurse, SCI Service. This position requires excellent communication skills; advanced knowledge of and experience with computers; the ability to work with others and general latitude for decision making and knowledge of information sources concerning complex question, policies, and procedures.
Duties
Major duties and Responsibilities include, but are not limited to:
Responsible for formulating and administering policies and developing or coordinating directive material implementing these policies.
Assumes the responsibility for the day-to-day service operations, supervision and administration, identifying areas requiring attention and recommending course of action to the Chief Nurse.
Orients/trains new professional staff members to the Service and to VA procedures of guidelines.
Studies patient satisfaction actively and real-time by implementing systemic changes designed specifically to respond to his/her finding.
Familiar with all data which are relevant to the management and measurement of healthcare organizations with advanced knowledge of VHA databases.
Serves as control point official for Nursing fund control points (FCP) and general post funds (GPF).
Responsible for implementing and maintaining several contractual agreements that provide service to our Veterans and Nursing Service.
Assists Chief Nurse/Assistance Chief Nurse with budget formulation.
Prepares document and submits to fiscal service by designated deadline. Works with HSS to ADPCS and/or AO to ADPCS for completion.
Record keeper of all service specific SOPs/Procedures. Responsible for assigning numbers for any new SOPs/Procedures. Tracks renewal/updating of service specific SOPs/Procedures.
COR certification obtained/renewed. Complies with all acquisition regulations including Federal, VA, and local regulations.
Completes supply orders for respective nursing service. Reconciles purchase card charges within established time limits.
Updates and maintains DSS, EIL, AcuStaf, Live Process, and/or other appropriate databases/systems for the service. Ensure any changes are made in timely manner.
Tracks all performance improvement/process improvement projects and belt training for the service.
Prepares documentation for survey readiness and for actual surveys. POC for TMS reporting during surveys.
Tracks TMS training needs for nationally mandated training, as well as compliance for BLS/ACLS and other trainings as appropriate. Service POC for TMS.
Ensures all deadlines are tracked and follows-up with emails/reminders are met within the service.
Tracks RN Proficiency due dates and follows-up to keep nurse managers on track for early completion
Maintains organizational chart with HR and Nurse Recruitment.
Prepares and completes clearance process with employees. Keeps record of clearance forms in shared drive, and initiates Provider Exit Reviews for LIPs.
Minutes for meetings are completed within 2 weeks of meeting date. Agendas are developed and sent out 1 week prior to scheduled meeting. Coordinates with presenters to ensure all materials are available.
Completes rating spreadsheet for end of year performance appraisals/awards.
Performs other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/25/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. For GS-07: Do you possess one-year specialized experience equivalent to at least the GS-6 level? Examples of Specialized Experience for this position are: Knowledge of health care delivery systems; experience developing professional reports, analyses, and recommendations; experience developing professional reports, analyses, and recommendations; skill communicating to various levels of management; problem solves patient complaints, answer questions, or determine correct source of information to receive guidance for resolving any issues; performs the day to day service operations, supervision and administration, identifying areas requiring attention and recommending course of action; ensures all deadlines are tracked and follows-up with emails/reminders as applicable; uses computers and computer applications/systems to analyze and communicate information in the appropriate format; Identifies rules, principles, or relationships that explain facts, data, or other information; analyzes information and makes correct inferences or draws accurate conclusions.
