This position is located within the Office of the Chief of Staff (COS), Credentialing and Privileging Department at North Florida /South Georgia Veterans Health System (NF/SGVHS), Gainesville, FL. The incumbent serves as a secretary performing a wide variety of clerical and administrative tasks associated with maintaining and supporting the work performed within the organization.

Duties

Duties include, but may not be limited to the following: Meet and greet all customers in a professional manner and assists in directing their inquiries to the appropriate parties. Receive incoming telephone calls responding to routine inquiries, or direct more complex calls to the appropriate Credentialing team member. Manage all incoming and outgoing correspondence, assists in assembling provider packets for initial and re-credentialing packet, and distributes as necessary. Integrate data from various types of software to produce final products, which are accurate and meet the needs of the office. Coordinate arrangements for appointments, meetings, conferences and regional conference calls. Prepare, verify, and/or close out procurement documents, files, reports, or records. Monitor and control business papers, correspondence, and records throughout the credentialing office, including the coordination of action papers with office and agency staff. Maintain time and attendance for COS staff and enter time and attendance information into the electronic time and attendance system for supervisory review/approval. Take minutes at meetings as determined by the Supervisor or senior COS staff. Receive, assign, and monitor externally and internally generated correspondence and inquiries. Serve as backup timekeeper for the COS Service. Obtain and monitor the use of services, supplies, and equipment. Perform other duties as assigned. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/22/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04 grade. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: SPECIALIZED EXPERIENCE GS-5: You must have one (1) year of specialized experience that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of Secretary (OA) at the full performance level (GS-5), and that is typically in or related to the position to be filled. To be creditable, this experience must have been equivalent to at least the GS-4 level in the Federal service. Specialized experience includes: receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; and maintaining files. A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. ~OR~ SUBSTITUTION OF EDUCATION FOR EXPERIENCE: You must have successfully completed 4 years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. (TRANSCRIPT REQUIRED) ~OR~ COMBINATION OF EXPERIENCE AND EDUCATION: You must possess equivalent combinations of successfully completed post-high school education and experience to meet total qualification requirements at the GS-5 level. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. (TRANSCRIPT REQUIRED) AND, TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. You will be rated on the following Competencies for this position: ClericalCustomer ServiceManages and Organizes Information Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small parts, or pushing a delivery cart, etc. No special physical demands are required to perform the work. The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting, and training rooms, or libraries. The work area is adequately lighted, heated, and ventilated.
