This Secretary (OA) position is assigned to provide assistance to the Chief, Fiscal Service, at the Malcom Randall Department of Veterans Affairs Medical Center in Gainesville, Florida.
Duties
Maintains the Fiscal Officer's calendar, scheduling appointments and conferences upon own initiative based upon personal knowledge of the Fiscal officer's current issues of importance and workload.
Prepares regularly required updates, routine correspondences on an automated system in connection with administrative phases of work, such as delegations of authority, memos of compliance with directives, requests for information of a non-technical nature.
Reviews outgoing correspondence prepared by other personnel for the Fiscal Officer's signature or clearance, checking format, grammar, typographical accuracy, and conformance with procedural instructions.
Screens mail closely and prior to distribution to the different sections segregates items of technical nature and routes than through the Fiscal officer for consideration.
Schedules arrangements for conferences, including space, time, attendees, etc., and assembles background material and hand-outs, as needed, including charts, graphs, etc. using graphic software.
Records minutes of the Fiscal officer's meetings, conferences, and others supporting the Service, transcribes minutes exercising own initiative in determining the most important phases of the discussions to report and/or when appropriate to delete discussions.
Maintains time and attendance cards and related documentation for Fiscal employees, ensuring these cards are properly certified and are submitted within the deadline date.
Responsible for (EIL) Equipment Inventory List and must conduct annual inventories.
Work Schedule: Monday - Friday, 8:00 a.m. - 4:30 p.m.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/07/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-06 position you must have served 52 weeks at the GS-05.
The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-5) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performing clerical/administrative duties in an office environment; receiving and referring phone calls; communicating and treating customers in a courteous, tactful and respectful manner; preparing correspondence; maintaining files/records; and utilizing various computer programs such as Outlook and Microsoft Office. NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position AND the number of hours a week spent in such employment.
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience, you must be able to type at least 40 words per minute.

Physical Requirements: The work is mostly sedentary, although there is some walking, bending and lifting.
