Serves as secretary to the Deputy Nurse Executive (DNE) for Patient Care Services (DNE) at North Florida/South Georgia Veterans Health System at the Gainesville division. In this capacity, the incumbent provides the principle administrative and clerical support to the DNE as well as the subordinate staff of that individual.

Duties

Duties include but are not limited to: Receives visitors and telephone calls for the Deputy Nurse Executive (DNE). Determines, by the nature of the inquiries, which are to be referred to other staff members, handled by herself/himself or referred directly to the DNE. Receives schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public. Processes incoming and outgoing materials such as correspondence, reports, memoranda, action items, and other forms of written communication. Edits letters composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries. Maintains the calendar and email inbox for the DNE, independently making appointments and arrangements for meetings/conferences, based on personal knowledge of the medical program requirements and priorities. Reviews mail and personally follows up with staff members regarding correspondence, recurring, non-routine reports and follow-up reports to investigations. Makes all necessary arrangements for travel, arranging schedule of visits, making transportation and hotel reservations. Serves as timekeeper for DNE and as a back-up for ADPCS as well as other Chief Nurse's sections as required. Uses office automation systems and various Microsoft software packages/programs, to accomplish work. Uses database or spreadsheet software to accurately enter, revise, sort, or calculate, and retrieve data for standard reports. Uses graphics software to provide graphic symbols, charts, and graphs for digital or paper presentations. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/11/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. General Experience: Progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. Specialized Experience: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Route incoming Telephone Calls and mail. Monitor and Maintain Executive Appointment Calendars. Triage incoming request for Appointments/meetings and re-routing them to other Points of Contact as applicable, scheduling as needed. Maintain Minuets for various meetings. Maintains and updates all employee locator and telephone lists, to include cascade rosters, and email distribution lists. Timekeeper responsibilities. You will be rated on the following Competencies for this position: Attention to DetailClericalCustomer Service (Clerical/Technical) Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The works requires sitting at desk, walking, answering phones, standing, bending, and carrying light items such as books, papers, and files.
