This position is located within the Mental Health and Behavioral Science Service Line at the White River Junction VA Medical Center in White River Junction, Vermont.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Major duties: Controls incoming and outgoing correspondence, reports, memoranda and other forms of written communication; Prepares and edits letters and reports and reviews correspondence for accuracy and completeness; Listens to patients or their families/caregivers concerns and assisting in the resolution and documentation of issues; Attends meetings and takes accurate minutes and follows up on action items with appropriate staff members independently; Serves as a timekeeper; Develops methods for the collection and retrieval of computer information from established systems to enhance analysis of program related data; Receives telephone calls and visitors, ascertains nature of call or visit, refers to supervisor or staff member as appropriate; Picks up, sorts and distributes mail; Notifies supervisor of priority items, composes replies to routine correspondence following established guidelines and policies; Advises staff member of approaching deadlines and initiates follow-up on overdue matters; Schedules appointments, coordinates meetings and/or schedules conferences; Arranges travel, completes/routes forms required for authorization and funding of travel; Maintains employee service records and files and inputs personnel actions, using electronic Human Resources system; Orders office supplies and enters work orders for the staff/service; Performs all other duties as assigned. Qualifications

To qualify for this position, all applicants you must meet one of the following: Specialized Experience: You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-4) in the Federal Service that has given me the particular knowledge, skills and abilities required to successfully perform the duties of a Secretary and that is typically in or related to the position to be filled. Specialized experience is experience gained providing secretarial and/or administrative support performing duties such as: recording and preparing meeting minutes; preparing memoranda, letters, meeting notes and other documents; maintaining logs and files; scheduling appointments, coordinating meetings and/or scheduling conferences; maintaining calendars and schedules for staff; and experience using automated software applications such as Microsoft Office Suite (Word, Excel, and PowerPoint). NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. Applicants wishing to receive credit for such experience must clearly indicate the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. ~OR~ Education: Successfully completed four (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. Education cannot be credited without documentation. ~OR~ Combination: Equivalent combinations of successfully completed post-high school education (beyond the second year) and specialized experience, as described above, which meet the total experience requirements for this grade level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. You will be rated on the following Competencies as part of the assessment questionnaire for this position: ClericalCommunicationsComputer SkillsManages and Organizes Information IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work of this position is primarily sedentary with considerable computer and keyboard work. Includes some walking, standing, bending and carrying of light items such as files, papers and books. The work environment involves the normal risks and stresses typical in an office environment which supports an extremely busy clinical service with various professional staff.
