This position is located in the White River Junction VA Medical Center and works under the general supervision of the Medical Center Director who outlines program objectives to be achieved and provides general policy guidance. The Secretary anticipates complex, sensitive, specialized requirements and assumes authority for establishing priorities in the areas of responsibility.
Duties

Major duties and responsibilities include:
Performing as the coordinator/administrative subject matter expert responsible for reviewing incoming tasks, assigning the action/responsibility; ensuring responses received are reviewed and accurate, and timely.
Responsible for program oversight, tracking, trending and analysis; identifying opportunities for improvement either within the overall process, or within individual Services/Service Lines.
Reviewing each Center Memoranda submitted for electronic concurrence for content and format, bringing any discrepancies to the attention of the owner.
Responsible for administrative program oversight and maintaining and utilizing an extensive database for monitoring, tracking, trending and analysis.
Issuing briefs, high profile documents which provide clear, concise and specific factual information about unusual incidents, deaths, disasters, or anything that might generate media interest or impact patient care.
Independently responsible for the receipt, control, logging and safekeeping, and necessary action on all classified material received.
Ensuring correspondence is logged in, action assigned and tracked, ensuring medical center timeframes/deadlines are met.
Serving in liaison capacity between the medical center and key staff on procedural matters and established policies by an accurate presentation of the facts.
Screening calls and visitors and personally furnishing required information, or referring inquiries to appropriate staff.
Conducting substantive review of documents and/or correspondence prepared for the medical center director's review/signature, for completeness, accuracy, tone, clarity, and compliance with protocol.
Receiving and reviewing all incoming mail/correspondence, determining which can be handled, forwarding the rest with appropriate notations as to who is to prepare response, how the reply is to be addressed, and for whose signature, etc. to the appropriate office, following up as necessary to ensure replies are timely.
Performing other duties as assigned.
Work Schedule: Monday-Friday, 8:00am to 4:30pm

Qualifications
IN ORDER TO QUALIFY FOR THIS POSITION AT THE GS-9 LEVEL YOU MUST MEET THE FOLLOWING:
SPECIALIZED EXPERIENCE: You must possess one (1) year of specialized experience equivalent to the GS-8 level in the Federal service, that equipped you with the particular knowledge, skills, and abilities (KSA's) needed to successfully perform the duties of the position and that is typically in or related to this Secretary position to be filled. Specialized experience includes providing administrative support for executive level management by conducting research, preparing statistical reports, handling information requests, and preparing correspondence for executive level personnel signature; coordinating and scheduling appointments/meetings; handling confidential and classified material; utilizing office automation software such as Microsoft Office (Word, Excel, and PowerPoint). (THIS EXPERIENCE MUST BE SUPPORTED BY YOUR RESUME TO BE CREDITABLE.)

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: Work is primarily sedentary with occasional walking, standing, bending with sporadic carrying of light items such as manuals, books and files. No special physical qualifications are required. The work environment is a fast paced and high stress office setting requiring multi-tasking, flexibility for reprioritization and a calm, organized demeanor. The work area is adequately lighted and climate controlled.
