This Secretary position is in the Physical Medicine and Rehabilitation service at the White River Junction VA Medical Center, located at the White River Junction, Vermont location. This position is full-time at 40 hours per week.
Duties
This position is located at the White River Junction (WRJ), Vermont VA Medical Center (VAMC) under the supervision of the Chief, Sensory and Physical Rehabilitation Service (SPRS) line. The incumbent is responsible for a broad range of activities related to the Medical Center's mission to provide quality patient care with special emphasis on the effective use of resources to meet patient demand.
Duties include but are not limited to:
Performs a variety of administrative, clerical and technical duties/responsibilities in support of management with the intent of accomplishing the administrative requirements of the SPRS line; therefore contributing to the efficient and effective accomplishments of the objectives of the overall programs.
Prepares correspondence, ensuring correct punctuation, capitalization, spelling, grammatical correctness, error free and that suspense dates are met. Additionally, uses appropriate format of typed materials in accordance with VA published standards.
Makes necessary distribution of original and final copies to ensure compliance with existing policy.
Maintains control of action correspondence; performs follow up action to ensure timely reply/action.
Responds to requests for information involving the programs and functions, projects assignments, internal procedures and current work status.
Formulates processes for maximum effectiveness in the coordination and control of recurring reports.
Assists in resolving administrative problems, maintains a suspense system for assigned tasks dictated by the facility and central office and provides follow up reminders to assure timely compliance.
Maintains calendars, room schedules, employee information that supports recurring meetings, information dissemination, space planning, etc.
Receives telephone calls and visitors, ascertains nature of call or visit and refers to appropriate personnel.
Provides routine information from files or knowledge of the organization, functions and polices.
Arranges meetings, appointments, takes accurate minutes, advises staff members of deadlines and initiates follow up on matters due. Maintains files of correspondence, publications and other materials.
Maintains smooth flow of oral and written communications, follow up on time commitments, data and special projects coming into the SPRS line from a broad diversity of groups.
Responsible for maintaining the key log for SPRS and conducts a key audit on an annual basis.
Enter electronic work orders for requesting keys and any maintenance work required by request or as a result of an inspection.
Prepares minutes of the SPRS all staff meeting and distributes appropriately.
Performs additional duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/08/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performing clerical/administrative duties in an office environment; answering and directing phone calls; receiving visitors; preparing correspondence; maintaining files/records; and using a computer to perform a variety of support tasks; scheduling and managing a calendar of appointments. At this grade level, applicants should have good verbal and written communication skills and the ability to perform assignments independently with minimal oversight.

Physical Requirements: The work is primarily sedentary. Physical demands do not exceed those of a typical office setting. There may be some walking, standing, bending or carrying of light items.
Working Conditions: The work requires observance of the safety precautions typical of an office setting. Risks are minimal.
