You will serve as an OFFICE AUTOMATION ASSISTANT in the FLEET WEATHER CENTER NORFOLK DIVISION of NAVAVNFCSTCEN.

Duties

You will use the knowledge of the capabilities, operating characteristics, and advanced functions of a variety of different software types to improve the efficiency and/or effectiveness of office operations. You will manage the Administrative Department Share Point Portal. You will prepare and post a variety of documents to the portal (i.e., significant events, Plan of the Week, directives, calendars, telephone listings, reports, etc.), as well as create links to other related sites. You will develop and maintain up-to-date computer databases for all action correspondence and project work for the department. You will convert data into graphic form, and incorporates into text for different reports. You will provide expert advice to command staff and develop procedures regarding the preparation and publication of various documents with complex formats. You will use automated systems to prepare technical and statistical letters/reports on subjects related to Privacy Act, Freedom of Information Act, Criminal Investigations and Base Loading Data. You will perform military pay and personnel services, including preparation of leave documents, officer fitness reports and enlisted performance evaluations. You will liaise with Navy Personnel Transaction Service Centers on all transactions related to military personnel (i.e., PCS transfers, separations, retirements, travel orders claims, regular and special pay, etc.). You will prepare temporary duty travel orders and travel vouchers for military and civilian personnel using the Defense Travel System (DTS). You will utilize Total Records Information Management System (TRIMS) for maintenance, transfer, and disposition of official records. You will apply knowledge of different technical publications to include Naval Correspondence Manual, Navy Directives Issuance System, and Standard Subject Identification Code (SSIC) Manual.

Requirements

  • You will be required to obtain and maintain a current valid United States driver’s license.
  • You will be required to obtain and maintain an interim and/or final security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
  • This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.

Qualifications

FOR THE GS-7: Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-06 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Experience applying correspondence rules and procedures to use these rules to prepare and/or edit written or electronic correspondence, ensuring proper use of English grammar, spelling, and punctuation. Experience applying a wide range of office automation softwares (e.g., Microsoft Word, Excel, PowerPoint, Outlook, and Access) for use in word processing, desktop publishing, graphics, database management, spreadsheets, electronic mail, managing calendars, and preparing presentations. Experience applying general administrative, pay, and personnel procedures and regulations needed to provide required services and support for command personnel. Experience interpreting and applying regulations and procedures pertaining to administrative support such as military and civilian awards preparation, enlisted performance evaluations and officer fitness reports, records maintenance and disposal, travel orders and claims submission, and preparation of official correspondence. FOR THE GS-6: Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-05 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Experience applying a wide range of office automation softwares (e.g., Microsoft Word, Excel, PowerPoint, Outlook, and Access) for use in word processing, desktop publishing, graphics, database management, spreadsheets, electronic mail, managing calendars, and preparing presentations. Experience using strong written, verbal, and telephonic communication skills.
