You will serve as a Lead Travel Administrative Support Specialist for the Small Business Administration (SBA), Office of Capital Access (OCA), Disaster Administrative Services Division - DASD, Administrative Services Center (ASC) in Herndon, VA. You will lead and perform duties related to travel.

Duties

As a Lead Travel Administrative Support Specialist at the GS-0301-12, some of your typical work assignments may include: Coordinate travel plans, airline reservations, rental/GSA vehicles, and other travel related needs. Review and audit routine and unusual travel vouchers for accuracy and adherence to SBA and Federal policies. Use oracle-based systems, electronic databases, electronic ticketing systems, and web-based systems to generate and run reports, import and export data and identify and troubleshoot errors in data. Use web-based systems to perform travel arrangements, voucher examination, credit cards & reconciliations and/or support desk. Interacts daily with travelers, travel management companies, employees, and management. Resolve customer issues and unusual requests. Monitor and assess the effectiveness of administrative functions performed in the travel department. Compile reports, identify organization procedures and production issues. Conduct cost benefit analyses and prepare recommendations for improvement. Answer questions, provide feedback, adjust workload assignments, and review subordinate quality of work. Maintain production and error reports, time and attendance, and general personnel issues. IMPORTANT NOTES: This is a Permanent position, which is a competitive service status position with a full-time work schedule. Mandatory Overtime: In order to respond quickly and efficiently to disaster survivors, substantial compensated overtime hours may be required (up to seven days a week and twelve to fourteen hours a day). This position is not included in a bargaining unit.

Requirements

  • U.S. citizenship is required.
  • You must be able to obtain and maintain a government travel credit card.
  • Favorable background investigation and credit check are required.
  • Credit score below 500 may negatively impact consideration in the hiring process.
  • You may be required to complete a one-year probationary period.
  • You must meet time-in-grade requirements by the closing date, if applicable.
  • This position is not included in a bargaining unit.

Qualifications

Experience: To receive credit, you must indicate the month and year as well as the average hours worked per week for each employer. Average work hours must be stated on the resume to quantify each period of work experience or that experience will not be credited toward meeting the specialized experience requirement. You must address the specific specialized experience required for each grade level of this position on your resume or application or you will be rated "Ineligible" for that grade level. GS-12: To qualify you must have at least 1 full year (52 weeks) of specialized experience equivalent in difficulty and complexity to the GS-11 level in the Federal service that has equipped you with the particular knowledge, skill, and ability to perform successfully in this position. This experience may have been obtained in either the private or public sector. In addition, this Specialized Experience must demonstrate the following: *Experience in at least 1 of the following administrative areas within the Travel Operations Branch: Travel Arrangements, Travel Credit Cards & Reconciliation, Travel Voucher Examination or Travel Support Desk; and *Interpreting and applying laws, regulations, policies, and procedures related to Administrative Services functions within the Travel Operations Branch; and *Leading projects or a team/staff of diverse employees in the day-to-day administrative and program support operations for an organization/office; and*Identifying organizational, procedural and production issues and providing recommendations for improvement within a department or organization; and *Providing customer service to internal and/or external customers; assessing needs, providing information or assistance, and resolving problems; and *Using Microsoft Office software and other automated systems designed to accomplish and manage the work of the department or organization. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. TIME-IN-GRADE: If you are a current career or career-conditional federal employee applying for promotion under Merit Promotion you must have completed a minimum of 52 weeks in positions at the next level lower than the position being filled. All qualification requirements must be met by 11:59 pm (Eastern Time) on 12/21/2023.
