The Program Support Assistant (PSA) for the Centralized Call Center within the Facilities & Engineering service provides full administrative and technical support that involves interactions within and outside of the organization, including other VA Medical Centers, Veterans Integrated Network Systems, VA Central Office and various local, state and national organizations, as well as the public and vendors.
Duties
Major duties and responsibilities will include:
Conducts routine audits of purchase logs using historical financial data, log entries and documentation
Screens visitors, telephone calls and personal inquiries to the Facilities & Engineering administrative office and determines appropriate action
Receives telephone calls from medical center staff regarding emergent or non-emergent maintenance problems; determines priority based on technical experience/knowledge and judgement; enters the work order, dispatches the proper technician for correction of the problem and closes out completed work orders.
Generates weekly, monthly and quarterly work order reports
Manages the Facilities & Engineering vehicle fleet, reserving vehicles for medical center staff, organizing paperwork and keeping statistical data on vehicles
Completes monthly and yearly mileage and gas consumption reports
Maintains maintenance and cleaning schedules for all vehicles, for both Facilities & Engineering and other services, at the Baltimore and Loch Raven campuses
Enters/receives, reviews, and processes all key requests to ensure building security
Maintains key file as personnel enter on duty, change services or leave the VA
Maintains and Update the Medical Center Space File, updating space ownership and coring information, and generates updated location bar code labels when space is created or changed
Coordinates and maintains the schedule for the use of the Facilities & Engineering conference room.
Manages purchase card use, reconciling purchase cards, maintaining purchase card documentation
Performs timekeeping duties
Performs other related duties as required.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/05/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: working knowledge of health care delivery systems related to financial management, management of physical and human resources, project management, process improvement methods, statistical analysis, data generation and evaluation in order to perform the day to day work.

Physical Requirements: The work is administrative in nature, primarily sedentary. Occasionally light physical effort may be required. As most of the time is spend using a computer, actions must be taken to prevent wrist, eye, and back injuries.
